The UT Dallas Center for Children and Families (CCF) is seeking a dedicated and organized part-time Admin Project Coordinator to join our dynamic team.

This position will provide professional administrative support on a wide variety of project assignments supporting various administrative functions. Provides overall coordination of projects to ensure completion within budgetary, space, and time limits in order to enhance the overall operation of the organization. Coordinates and completes routine projects or tasks, requiring limited judgment and decision-making. This role will be pivotal in ensuring smooth operations within the Center, providing essential assistance to team members. Prior experience at UTD and institutional knowledge is highly desirable.

This position is non-benefits eligible and currently a Classified Temporary position. Continued employment is possible contingent on the availability of funds.

Minimum Education and Experience

High school graduate or equivalent.

Preferred Education and Experience

Highly Preferred

  • Prior experience in an administrative role, preferably in an academic or university setting.

  • Familiarity with University of Texas at Dallas protocols and procedures is highly desirable.

Essential Duties and Responsibilities

Duties & Responsibilities

  • Assisting Team Members: Provide support to team members by assisting with projects, programs, and events as needed, ensuring deadlines are met and tasks are completed efficiently.

  • Organizing and Ordering Office Supplies: Maintain inventory of office and program supplies, place orders when necessary, and ensure office refreshments and supplies are stocked and replenished. Organize and manage CCF front reception, conference room, and copy/supplies room.

  • Reconciling Accounts and Reporting Funding: Reconcile accounts and track expenses. Assist in identifying and reporting funding needs for various initiatives and projects within the Center.

  • Navigating University Protocols and Approvals: Serve as a resource to team members and external partners by assisting in navigating university protocols and approvals for projects and events.

  • Managing Room Reservations: Oversee the scheduling and coordination of room reservations for meetings, events, and programs with CCF.

  • Assisting Students: Assist with recruitment of students for CCF programs, help process paperwork and background checks, assist with training needs and provide support.

  • Other Applicable Administrative Needs: Provide general administrative support such as answering phones, responding to emails, filing, data entry, processing local mileage and travel reimbursements, receiving and sending mail, and maintaining CCF office calendar.

  • Other Duties as Assigned

Essential Knowledge, Skills & Abilities

  • Strong computer skills with proficiency in Microsoft Office Suite

  • Ability to multi-task and handle multiple competing deadlines

  • Excellent organizational skills with a keen attention to detail.

  • Ability to work collaboratively with strong communication skills, both written and verbal.

Work Notice: This position is 100% on-site and in person.

Travel: Occasional local travel for office, program, or event needs.
