Position Summary

We are looking to fill one temporary, non-benefitted position in the Office of Graduate Education. The job will start as soon as March 1st, 2021. The work schedule is Monday

  • Friday, 8am-4:30pm (37.5 hours per week) and will not exceed 1,000 hours in a calendar year. The position is expected to go through June 2021 with a possible extension through August 2021. Note that some evening/weekend hours may be required to assist with OGE events. The duties include a broad range of administrative duties for the Office of Graduate Education with a focus on graduate student services.

The ideal candidate is detail oriented, works well independently, and excels in a fast-paced setting that requires cyclical and recurrent processes.

This is a non-benefitted position not to exceed 1,000 hours in a calendar year.

Essential Functions

While upholding and following university policies and procedures, the following duties are required for this position:

  • Complete a thorough review of all documents on file for students who have applied to graduate and prepare a high volume of graduation evaluations to be sent to departments and students.

  • Collaborate with departments to review student academic information and clearly, politely, and effectively communicate with students regarding remaining degree requirements.

  • Review and approve formatting of theses and dissertations before final submission to the University and provide feedback to students.

  • Assist with the spring and summer commencement ceremony, including the review and update of the commencement program, preparation of doctoral diplomas at commencement and commencement lineup, if an on-campus ceremony occurs.

  • Perform clerical and administrative duties, as required, to support the student services areas.

  • Serve as a back-up receptionist, answering phones, greeting visitors, and answering general questions.

Knowledge, Skills, and Abilities

  • Must be available to work both remotely and on campus Monday-Friday from March through August, with the exception of university holidays and closures.

  • Attention to detail and problem-solving skills.

  • Intermediate user of Microsoft Office software, including Excel.

  • Capable of quickly learning and using new software systems including University Banner records system.

  • Exercises discretion and good judgment.

  • Performs simple mathematical calculations.

  • Dependable and able to work well with others in a team environment.

  • Self-motivated and work well independently with minimal supervision.

  • Extremely organized and able to multi-task various projects and priorities.

  • Communicates effectively and professionally, both orally and in writing with students, departments, and administrative offices on campus.

  • Ability to gather data, compile information, prepare evaluations and clearly explain outcomes to departments and students.

Required Qualifications

  • Bachelor's degree.
  • A minimum of one year of administrative or clerical experience.

Preferred Qualifications

  • University student services experience.

  • Experience using a student database system, such as Banner.

  • Experience reviewing and evaluating university curriculum.

  • Monday
  • Friday, 8:00 a.m.

  • 4:30 p.m. Seasonal: March 1 - June 30, with possible extension.
