KPMG is currently seeking a Temporary Associate, Document Specialist to join our Proposal Services organization through May 24th 2019.


  • Create and process firm financial statements and letters for KPMG audit practice

  • Maintain, edit, revise, and format word processing requests for the firm

  • Obtain signatures from customers and prepare documents for official filing

  • Proofread document processing work with keen attention to detail

  • Utilize customized web-based project management software

  • Accountable for job intake, basic database entry, and maintaining integrity of server folder creation/structure


  • Minimum three years of administrative and/or project coordination experience; preferably in a professional services environment

  • High school diploma or equivalent; some college from an accredited college/university is preferred

  • Proficient with Microsoft Office Suite applications including Word, Excel, and Outlook (including macros, headers, footers, page/section breaks and embedded tables), and Adobe Acrobat

  • Ability to multitask and follow detailed multi-step processes in a deadline-driven environment

  • Flexible to work overtime as needed

ESSENTIAL JOB DUTIES * Processes and controls all project documents in accordance with program policies and procedures. Responsibilities include processing of all hard copy documents by assigning applicable file codes and stamps and entering into Aconex (the project repository) with metadata, creates and maintains master distribution lists, monitors the project's electronic mailbox for emails not exchanged in the repository and processes electronic mail and attachments and/or other efiles into the assigned repository, files hard copy documents and maintains project file room, prepares transmittal packages for the assigned responsible party (Project Manager, Deputy Project Manager or Discipline Manager) to send in response to a Designer/Contractor submittal package, maintains the project field library, responds to staff requests for retrieval of documents and distributes documents as requested. * Converts, as required, scanned documents into a PDF/A compliant and OCR (optical character recognition) file for processing and/or electronic distribution. * Assists with the document quality checks, reproduction and distribution of design review packages. Under the direction of the Project Document Control Sr. Administrator, coordinates with the assigned field Project Manager and/or the Project Discipline Managers and the Project Staff, to ensure any old hard copy documents, emails, and/or native files from offices/cubicles or on personal computers are reviewed in accordance with RTD's Records Management Handbook to determine if incorporation into the project record repository is warranted. * Coordinates weekly reminder notices to the Project staff of outstanding and/or overdue correspondence responses. * Assists the Project Document Control Sr. Administrator and the assigned field Project Manager, Deputy Project Manager(s) and/or Discipline Managers to review and comment on Designer or Contractor document submittals for metadata errors, configuration management conformance and compliance with the repository Project Instruction Manual. * Coordinates with the assigned field Project Document Control Sr. Administrator and other document control staff on document control procedures. Assists project staff to implement document control policies and procedures. * Participates in all FasTracks Program document control training sessions and/or peer review sessions, as required. * Assists project personnel, as required and other duties as may be required from time-to-time. Daily oral and in-person communication with the RTD FasTracks Team.
