Temp Position: 8-10 weeks

Job Summary:

The Assistant Controller is based at the Leonard Mt. Airy Customer Support Center (CSC), with operations in the U.S. and has overall responsibility for managing and maintaining accounts receivable records, ensuring accurate and timely processing of invoices and payments, and assisting with collections. This position reports directly to the AR Manager and does not have direct reports.

Job Responsibilities:

  • Generates and distributes customer invoices accurately and promptly, ensuring all billing information is correct and in accordance with company policies.

  • Records and applies incoming payments to the appropriate customer accounts, including checks, credit card payments, and electronic transfers.

  • Monitors outstanding accounts receivable balances and follow up with customers on overdue invoices via phone, email, and mail to ensure timely collection of payments.

  • Reconciles customer accounts to ensure all payments are accounted for and properly posted, resolving any discrepancies or issues that may arise.

  • Responds to customer inquiries regarding their accounts, providing excellent customer service and resolving any billing or payment issues promptly and professionally.

  • Prepares and maintains accurate records and reports on accounts receivable activities, including aging reports, collection efforts, and payment status.

  • Ensures all accounts receivable data is accurately entered and maintained in the accounting system, updating customer information as needed.

  • Assists the finance team with additional tasks and projects as needed, including month-end close activities, audit preparations, and process improvements.

  • Ensures all accounts receivable activities comply with company policies, procedures, and regulatory requirements.

Competencies (skills, knowledge, and abilities):

  • Proficiency in Microsoft Office applications, particularly Excel, and experience with accounting software (e.g., QuickBooks, SAP, or similar).

  • Excellent attention to detail and strong organizational skills, with the ability to manage multiple tasks and meet deadlines.

  • Strong communication and interpersonal skills, with the ability to interact effectively with customers and team members.

  • Problem-solving skills and the ability to resolve discrepancies and issues in a timely manner.

  • Ability to work independently and collaboratively in a fast-paced environment.

Education/Experience Requirements:

  • High school diploma or equivalent; associate's or bachelor's degree in Accounting, Finance, or a related field is preferred.

  • Minimum of 1 year of experience in accounts receivable or a similar role, preferably in a retail or manufacturing environment.

Travel:

  • This position does not require travel.

Physical Requirements:

  • Ability to remain in a stationary position 75% of the time.

  • Ability to type on a keyboard.

  • Ability to hear and talk.

  • Ability to move about inside the office to access filing cabinets, office machinery, etc.

  • Ability to operate a computer and other office productivity machinery, such as a calculator, copy machine, and printer.

  • Requires close vision for computer work and reviewing correspondence.

  • Work is performed in a controlled office, with noise levels within acceptable safety levels, paper dust, etc.
