JOB SUMMARY: The Program Supervisor supervises direct care staff and volunteers, and administration of the program facility by coordinating and monitoring residential coverage ensuring that program and services are in accord with best practice standards,

contract/grant requirements, and agency practices and procedures.

SUPERVISORY RESPONSIBILITIES: Provides administrative supervision of 8 FTEs and up to 4 PTEs.

ESSENTIAL DUTIES and RESPONSIBILITIES:

  • Supervises a team of Program Assistants, and as needed agency and community volunteers in support of overall program goals and objectives.

a. Recruits, hires, conducts performance evaluation, and provides staff professional development opportunities.

b. Creates and oversees shift scheduling.

c. Provides coverage for shifts as needed.

d. Develops and implements processes to control and minimize overtime.

e. Conducts regular staff meetings and Individual Supervision with Program Assistants.

f. Monitors clocking in and out procedures.

g. Facilitates positive and effective team dynamics.

h. Approves timecards and Paid Time Off requests.

i. Mediates client and/or staff conflict as needed.

j. Addresses staff concerns requiring resolution or follow-up in a timely manner.

  • Assist with inventory of donations and supplies by documenting all donations in the binders. Notifying Program Coordinator and Sr. Program Manager when supplies need to be reordered.

  • Establishes and monitors overall facility performance based on agreed upon performance measures.

a. Ensures the cleanliness, safety, and security of the facility is maintained.

b. Enhances the client environment by creating a hospitable and customer-oriented facility.

c. Documents all client violations of facility rules.

  • Ensures prompt and accurate submission of incident reports internally and externally as outlined in the incident reporting process. Reports all incidents and staff violations to program leadership immediately via agency email and/or phone.

  • Participates in the continuous quality improvement (CQI) process to deliver best practice services.

  • Performs other job-related duties as assigned.

EDUCATION and EXPERIENCE:

  • High School or GED required.
  • 2 years of direct service experience working with the adult homeless or other vulnerable population.
  • 3 years' administrative supervisory experience.

SKILLS and COMPETENCIES:

  • Ability to determine and meet program and client needs. Knowledge of methods used to determine and provide customer service.

  • Skill to operate job-related equipment including the use of computer systems (MS Office products), including Excel, Outlook, Credible and remote access.
