We seek a full-time Project Coordinator in our Fairlawn office to provide support our growing Telecom practice. The selected candidate must be able to project a professional company image through in-person and phone interaction.

This position has multiple responsibilities including general clerical, receptionist and project-based work including but not limited to:

  • Coordinating staff and tracker projects

  • Accepting incoming Purchase Orders and setting up electronic job folders, online trackers and inputting into internal accounting systems

  • Creating and tracking purchase orders to subcontractors. Processing vendor and sub consultant invoices

  • Tracking of all tasks and client deliverable documents

  • Facilitating client communications (proposals, letters, contracts, transmittals, etc.). Compiling and assembling reports; coordinating large production jobs, burning CDs, printing and binding

  • Assisting project managers with contract processes and request insurance certificates

  • Preparing weekly trackers or job status communications for clients

  • Assisting project managers with client billing and performing invoice reviews

  • Setting up and coordinating office events, meetings and conferences, creating and distributing agenda and attachments and taking meeting minutes as needed

  • General administrative support for the offices including but not limited to receptionist duties; answer phones, greet and direct visitors, process incoming and outgoing mail/packages, create labels and envelopes, order and oversee office supplies and resources

  • Project production: Create, proofread, edit, format and finalize project-related documents

  • Maintaining hard copy and electronic filing systems

  • Daily loading of all printers with paper, and stocking paper supplies at each printer location

  • Providing office supplies/materials and orientation for new employees

  • Set up accommodation and travel arrangements for office staff members and company visitors

  • Preparing expense reports for office staff members

  • Other duties as assigned


  • Excellent communication skills; strong grammar and punctuation skills

  • Highly proficient in MS Office Suite (Word, Excel, Outlook, PowerPoint) and general internet

  • Proficient in Adobe Professional

  • Strong proofing, formatting and editing skills

  • Positive, client-oriented, take-charge attitude

  • Highly organized and detail-oriented

  • Capable of managing and balancing multiple tasks/priorities and performing well under deadline pressure

  • Ability to work well with various types of people and in a team environment

  • Able to work additional hours when necessary to meet deadlines

  • 3 or more years of relevant administrative or coordination experience preferred

  • Able to stand for extended periods and bend/stoop occasionally, lift or maneuver boxes with or without accommodation

  • Valid driver's license
