JOB SUMMARY

Performs advanced technical level work that involves responsibility for the daily operation of the school activity funds accounting section; training of school-based staff and giving technical assistance concerning proper record keeping policies and procedures. The nature of work requires on-going communication with school-based staff that includes the preparation and distribution of directives and general information memos. The majority of work is done independently.

ESSENTIAL DUTIES/RESPONSIBILITIES

  • Visits schools and render assistance in maintaining, reconciling and balancing the school financial records.

  • Assists in planning and conducting training workshops for both new and current school-based staff for the purpose of reviewing, discussing, and clarifying proper Funds management policies and procedures; advises the school-based staff of changes, revisions and/or new Board policies, Administrative Regulations and proper implementation of same.

  • Trains new school-based Finance Secretaries. When requested, give guidance to current school-based staff on proper School Activity Fund Accounting policies and procedures.

  • Assists in maintenance of the School Activity Fund Accounting manual and with the utilization of computer-based school accounting systems.

  • Maintains a file of individual school financial activity on a monthly basis by fiscal year.

  • Assists in compiling and summarizing data for the annual School Activity Fund Financial Statements Report.

  • Compares school monthly financial reports to monthly Account Transaction Ledger/reconciliation; verifying accuracy of amounts, calculations, and posting of all transactions. Take necessary action to correct any discrepancies. Checks the clerical accuracy of monthly school financial reports and accounting records.

  • Assembles and distributes directives and general information memos to school-based personnel.

  • Receives and maintains records related to the Activity Funds Master Bank Account. Distributes appropriate bank items to respective schools. Such as: Returned check items. Responds to requests from schools for bank items. Such as: Cleared/paid check images.

  • Maintains good working relations with school-based personnel.

  • Performs other related duties as assigned within the same classification or lower.

MINIMUM QUALIFICATIONS

Education

  • Associate's Degree in applicable field of education from a regionally accredited college or university required;

  • Or an equivalent combination of education and experience which provides the required knowledge, skills, and abilities deemed sufficient to prepare the applicant to successfully perform the duties of the position.

Experience

  • Three (3) years recent progressively responsible office bookkeeping or clerical accounting experience required;

  • Or an equivalent combination of education and experience which provides the required knowledge, skills, and abilities deemed sufficient to prepare the applicant to successfully perform the duties of the position.

Knowledge, Skills, Abilities and Other Characteristics

  • Ability to cooperate and work with team members; and to deal tactfully and effectively with all Board Personnel.

  • Ability to maintain confidentiality with respect to those matters necessitating same.

  • Ability to exercise initiative and good judgment in the timely execution of assigned responsibilities.

  • Ability to operate various office equipment such as calculators, copier, fax, printer, etc.

  • Demonstrated ability to effectively work and communicate with diverse populations.

  • Demonstrated proficiency with business software (e.g. Video/Web Conferencing, Microsoft Office Suite-Word, Excel, Outlook and/or PowerPoint preferred). For new permanent secretarial/clerical/technician hires, a minimum score on a pre-employment assessment is required.

CAREER LADDER REQUIREMENTS

Qualification Requirements for Employment in Higher Grade as a New Hire or Transfer requires:

  • Two (2) additional years continuous successful experience required.

  • Achievement of Professional Certification or Certificate in Business or Accounting, or Completion of coursework or workshops leading towards professional certification, as determined by the supervisor required.

Eligibility for Consideration for Advancement from Lower Grade to Higher Grade requires:

  • Two (2) years continuous successful experience in the position at the Lower Grade level.

  • Mastery of all responsibilities and duties of the position.

  • Achievement of Professional Certification, License or evidence of course completion in pursuit of such certification or license, if applicable.

  • Evidence of completion of additional training that may be recommended by supervisor and/or participation in approved professional development programs or courses, approved in advance by the supervisor. Successful completion of a minimum of one professional development within the last two years is required. Successful completion of job specific professional developments identified on the job description, performance evaluations and/or the supervisor's documented recommendation are required.

  • Achievement of identified goals as they relate to the needs of the district and as established by the supervisor.

  • Consistent maintenance of an effective and orderly work environment.

  • Consistent compliance with general office procedures such as standards contained in the AACPS Employee Handbook; demonstration of discretion and excellent customer service; regular and punctual attendance; and building dress code, including wearing AACPS ID badge.

  • Above Satisfactory overall job performance for the two most recent consecutive years of Performance Ratings.

  • Letter of Recommendation written by the supervisor.

Additional Requirements for Advancement from Lower Grade to Higher Grade requires:

  • Achievement of Professional Certification or Certificate in Business or Accounting, or Completion of coursework or workshops leading towards professional certification, as determined by the supervisor required.
