Technical & Scientific Report Typist

Position Summary

The Technical & Scientific Report Typist will perform administrative Lab support activities. Duties will include fielding telephone calls for our Technical Director, receiving and directing visitors, word processing, typing reports for the lab personnel and our failure analysis Manager. Ability to type reports from dictatation files. Extensive software skills are required, as well as Internet research abilities, strong communication skills, and the ability to work in a fast paced, change environment.

Responsibilities

• Answer telephones, direct calls, and take messages

• Compile, copy, sort, and file records of office activities, business transactions, and other activities

• Operate office machines, such as photocopiers and scanners, facsimile machines, voice mail systems, and personal computers

• Compute, record, and proofread data and other information, such as records or reports

• Maintain and update filing, inventory, mailing, and database systems, either manually or using a computer

• Open, sort, and route incoming mail, answer correspondence, and prepare outgoing mail

• Review files, records, and other documents to obtain information to respond to requests

• Greet and direct all visitors and clients

• File and retrieve corporate documents, records, and reports

• Perform general office duties such as ordering supplies, maintaining records management systems, and performing basic bookkeeping work

• Assist with any other departmental duties as required, to include uploading payroll spreadsheets

Requirements

• High School Diploma or equivalent

• Minimum 2 years general office experience

• Experience with Microsoft Office Programs with strong Excel, Word and Outlook skills

• Experienced in Word and Adobe Acrobat

• Experience with Photoshop or other similar image formatting/manipulation software. Very important to be highly comfortable with managing photos (retrieving, saving, formatting, adding text and/or arrows to show or explain details on images).

• Must be comfortable downloading photos from memory card and saving to a specific location in the computer. Also must be able to retrieve these photos for file and incorporate into word documents.

• Must be comfortable with Windows.

• Good knowledge of saving/retrieving files on different computer drives, memory sticks, etc.

• 60 wpm or more with good to excellent typing skills.

• Strong grammar skills are important.

• Dictaphone or Dragon transcription experience preferred.
