We are seeking a highly organized and detail-oriented Technical Program Management Coordinator to join our dynamic Customer Success & Professional Services Business Partner Group (BPG). Reporting to the Sr. Director, Portfolio Management, you'll play a pivotal role in driving the efficiency and success of our diverse projects and initiatives. In this role, you'll manage portfolio reporting, programs, and process improvement initiatives crucial to our sustained success. This includes but is not limited to managing portfolio reporting, programs, process improvement initiatives, and analytical reporting. You will be tasked with producing weekly, monthly, and quarterly reports covering project & program progress, prioritization, portfolio metrics, and budget utilization. Key responsibilities involve preparing for Executive Presentations, coordinating meetings, ideating presentations, and managing risks and action items. The ideal candidate will have a strong analytical mind, high attention to detail, good communication skills, be adept at multitasking, and the ability to drive process improvements. Responsibilities:

  • Program Management: Assist the CS|PS BPG Lead and Senior Director in driving, managing, monitoring, tracking, and reporting program progress to stakeholders and CIO leadership teams. Ensure delivery remains within budget, schedule, and scope.

  • Project Management: Lead small to mid sized Agile software development projects, demonstrating a clear understanding of Agile processes and ceremonies.

  • Data & Documentation Management: Oversee management of portfolio, program, project, and employee data within Salesforce project management information systems. Ensure accuracy and completeness in all portfolio documentation, collaborating closely with Program Managers, Product Managers, and Engineering leads.

  • Reporting: Produce comprehensive reports weekly, monthly, and quarterly covering project updates, portfolio health, budget utilization, employee metrics, and prioritization insights.

  • Financial Management: Manage budget entry and approval processes in conjunction with the Senior Director, adhering to financial guidelines and accurately recording expenditures. Oversee vendor submissions, SOW and PO/PR process, progress reporting, contract renewals, capitalization, and month/quarter close reporting as required.

  • Meeting Coordination: Facilitate scheduling and coordination of meetings, maintaining the rhythm of the business calendar for timely and efficient operations.

  • Presentation Preparation: Draft and build compelling presentations for Executive meetings from Leadership Team input, ensuring alignment with organizational objectives and strategic initiatives.

  • Executive Meeting Support: Provide support during executive meetings, including capturing meeting minutes, managing risks, dependencies, and action items, and delivering comprehensive meeting recaps.

  • Risk and Dependency Management: Identify, assess, and manage risks and dependencies associated with projects and programs. Proactively escalate issues to the Leadership Team and collaborate across multiple teams for resolution.

  • Communication: Exhibit strong communication skills, fostering effective collaboration and alignment across diverse teams and stakeholders.

  • Salesforce Expertise: Develop an understanding of Salesforce , Customer Success, & Professional Services operations to optimize processes and drive efficiency within the organization.

Required Skills / Experience:

  • Bachelor's degree in Information Technology or related field; graduate degree preferred.

  • Minimum 2 years of experience in project management or coordination, ideally in Agile methodologies and Salesforce technical environments.

  • Proficient in meeting coordination, presentation preparation, and executive support.

  • Familiarity with Salesforce products/platform, Salesforce Administrator certification a plus.

  • Skilled in managing complex technical programs with multiple stakeholders and dependencies.

  • Ability to handle multiple deadlines, prioritize tasks effectively, and ensure flawless execution with high attention to detail.

  • Excellent communication and interpersonal skills for effective cross-team collaboration and conveying complex information.

  • Experience in data analysis, reporting, and process automation.

  • Strong teamwork and problem-solving abilities in a fast-paced environment.

  • Proficiency in building/managing basic Tableau dashboards from Google Sheets data.

  • Quick adaptability to collaboration technologies such as Google, SmartSheet, Quip, and Slack.

  • PMP and/or Agile certification preferred.
