Your new role
The Team Coordinator Lead is a key role which provides professional administration support to the Fund Services. This role will establish an effective relationship with the Head of Fund Services and the Fund Services US management group to ensure all administrative matters are managed efficiently and to facilitate the smooth running of the team. The Senior Team Coordinator will also be responsible for managing the other Team Coordinators in the US and partnering closely with other Team Coordinators across the broader Fund.
Key responsibilities include:
People Leadership and Office Management
Oversee general running of the office, including but not limited to vendor management, coordination of office maintenance and repairs, and ensure that the office is compliant with health and safety requirements.
Manage the front desk operations.
Train team coordinators and a corporate receptionist to support their continuous skills development.
Manage or assist with arranging conference events, organizing attendance and associated matters. Assist in coordination of team events & activities.
Support financial management through invoice processing and raising purchase orders.
Executive Assistant Support
Provide administrative management support to the Head of Fund Services, the Fund Services US management group, and Fund Services US generally.
Assist with the preparation, formatting and editing Fund Services committee papers, presentations, and reports (Excel, Word & PowerPoint via MS Teams and SharePoint).
Manage executives' calendars.
Provide meeting support and coordination including agenda preparation and taking minutes.
Assist with credit card management for senior team members including monthly reconciliation. Support with travel arrangements and approvals.
Stakeholder Management
Ensure working relationships, internal and external are built and maintained in a positive and cooperative manner, to ensure a positive and cohesive environment through which workflow efficiency and sharing of information / knowledge is maximized.
What you'll need
Culture is key at AustralianSuper and we are looking for someone who is a team player that enjoys working in a high performing collaborative team.
Previous experience in a similar people management/leadership role.
Strong proficiency level in Microsoft Office applications in particular Word, Excel, Outlook, and PowerPoint.
Demonstrated ability to manage a senior executive's office and administrative staff, co-ordinate tasks, set priorities, and operate independently.
Excellent attention to detail and organizational skills, with demonstrated ability to plan, perform and prioritize multiple tasks seamlessly, and meet deadlines.
Strong written and oral communication skills; including proven experience in dealing with confidential and sensitive issues/information and ability to develop and maintain rapport across all organizational levels.
Due to it's nature, this role is predominantly based in-office (1251 Avenue of the Americas.
Pay transparency notice
The salary range for this position is $110,000 to $140,000 (this is based on full-time hours, located in New York City). The base pay offered may vary depending on job related knowledge, skills, and experience and refers to the amount AustralianSuper is willing to pay at the time of posting.
