The purpose of this job is to support the UX, Data & AI teams by coordinating the portfolio of project schedules, resources, and priorities across multiple teams and locations. You will be directly supporting the Director and help keep the team synchronized, informed, unblocked, happy, and motivated.
Key Tasks & Responsibilities:
Manage day-to-day functions for the teams including scheduling, travel planning, expense reporting, project preparation, communications, reviews, etc.
Interact with the UX, Data & AI teams on a daily basis and coordinates special projects and department activities, including on-site and off-site meetings, presentations, workshops, conferences, telephone or video conferences, etc.
Communicate effectively the desired deliverables of executive management to guide the team's efforts and creativity, and communicate to executive management the commitments team can realistically complete
Compile status reports across all teams, including project progress, costs, blockers and milestones.
Lead efforts to find synergies between teams, and coordinate lessons learned between teams to promote operational efficiency, including effective use of team cars, cell phone plans, flight booking, resource sharing and opportunities for cross-team collaboration.
Keep notes and maintain effective internal documentation
Use internal tools & processes for technical and administrative support for the teams.
Coordinate the team's needs for IT, shared services and visa applications.
Conduct market and technology research
Coordinate and arrange executive events and press related activities
Compile reports and summarize technical documentations
Minimum Skills Required:
Associate Degree (any field)
1-3 years of relevant experience
Excellent organizational and communication skills. Solid project coordination, scheduling, and administrative skills. Ability to multi-task and perform under strict deadlines
Experience in office administration and support
Strong knowledge and facility of standard productivity software tools (e.g. MS Office suite)
Budgeting and basic finance knowledge
Supreme organizational and communication (verbal & written) skills. Positive and intelligent attitude. Must be able to juggle multiple tasks at any one time and stay one step ahead
Demonstrated capabilities and willingness to learn the use of internal tools & processes for communications, scheduling, and travel
Expert in preparing presentation slides and reports that are concise, attractive and focused. Hands on experience with office software programs, including spreadsheets, word processing and graphic presentation software.
Proactive, resourceful, efficient, energetic, and a genuine desire to work well with people. Ability and desire to learn within a dynamic environment
Strong knowledge of social media and web search tools. Ability to quickly extract information from the Internet to form effective briefings and reports
Strong attention to detail and ability to maintain confidentiality. The maturity, confidence, and poise to interact effectively with staff at all levels
Strong Ability to work under pressure
Facilitate with SAP, PeopleSoft, and similar software tools
Knowledge of Mercedes-Benz and/or Daimler AG organization and processes a plus
German language skills a plus
