  • Visitor reception and catering as well as administration of meeting rooms
  • General secretarial and assistance tasks (telephone correspondence, incoming and outgoing mail, appointment coordination and monitoring)
  • Travel management (booking and accounting of business trips, as well as travel expense processing)
  • Contact for business partners, customers, employees, and service providers
  • Purchase of office materials, drinks, snacks, employee gifts, etc.
  • Support of internal & external events, control of suppliers
  • Office organization (contact person for repairs, improvements, new acquisitions, preparation of the workplace for the start of a new employee)
  • Office move coordination


  • Several years of experience in office management or as a team assistant
  • Proven experience coordinating office moves

VIEW JOBS 10/20/2019 12:00:00 AM 2020-01-18T00:00 GENERAL SUMMARY/ OVERVIEW STATEMENT: Under general direction of the Medical Assistant Supervisor and Practice Manager, the incumbent is responsible for performing the duties of the medical assistant while providing support to the medical assistant team. The incumbent will serve as the first stop for the medical assistants to help troubleshoot issues with patients and providers. The team lead will also help in providing guidance and directions to the medical assistants when needed. The team lead will be the backup Kronos timekeeper for the Wang 8 clinic and will step in when clinic supervisor is not available to complete the Kronos processing. Team lead will complete all supplies orders for the Wang 8 clinic. Oversee the placement of the externship students in Neurology. Provides and supports professional development opportunities to team members. Ensures that patients and other customers are serviced efficiently and effectively. PRINCIPAL DUTIES AND RESPONSIBILITIES: * Performs the roles and responsibilities of the Medical Assistant I and II roles in Neurology * Responsible for ensuring smooth daily functioning of the team; Problem solves coverage of vacations and unexpected absences, etc. * Works in any capacity that the team needs to ensure that the service level remains up to standards, including doing vitals, providing super user skills to MA's and providers. * Oversees the placement of externship students, providing mentorship and guidance as appropriate * Provides coaching and mentoring to team members to improve operational effectiveness and quality. * Leads daily huddle. Provides leadership and direction and encourages teamwork. Facilitates interactions amongst his/her team and works to maintain good morale. * Consistently monitors progress and provides feedback on team member performance to the Medical Assistant supervisor. * Oversees the management of Wang 8's payroll within Kronos, including the resolution of payroll issues. * Identifies system and operational problems through analysis of current processes. Recommends solutions and improvements to the medical assistant supervisor. * Assures maintenance of schedules and forecasts workloads and staffing requirements for Medical Assistant Supervisor and Practice Manager approval. * Assists with and responds to escalated patient feedback. Investigates and resolves complaints, questions and concerns. * Works closely with Medical Assistant Supervisor and Practice Manager to ensure team efforts are aligned with departmental goals. SKILLS & COMPETENCIES REQUIRED: * Demonstrated knowledge of medical terminology * Familiarity with managed care plan requirements * Excellent Customer Service skills * Strong leadership skills with an ability to mentor and coach staff * Strong verbal and written communication, interpersonal and team building skills * Ability to exercise judgement in dealing with sensitive, confidential information * Operational, problem solving and decision-making skills * Proficient with office software packages such as word processing, spreadsheets and database management * Demonstrates flexibility and adapts to shifting priorities in response to the needs of patients, caregivers and colleagues. * Excellent organizational skills and attention to detail * Ability to multi-task effectively LICENSES, CERTIFICATIONS, and/or REGISTRATIONS: Preferred: Certification through the Certifying Board of the American Association of Medical Assistants (AAMA).
