Position summary

The Team Assistant position will provide a high level of support to the assigned AMEA leadership team members, Europe Finance team as well as to maintain smooth running of the overall Clorox Europe Office, wherever possible and ad hoc duties. This position requires a self-tarter candidate who enjoys variety, thrives to complete tasks and has an eye for detail with a creative flare.

Key responsibilities

To manages and maintain the Accounts Payable, Key Account payments and cash management processes

  • Ensures that all accounts are paid in a timely basis within the sales terms agreed with suppliers.

  • Organises and keeps current all supplier and employee expense invoice documentation.

  • Applies cash receipts on a timely basis to ensure Customer Service team has a clear understanding of all accounts receivable positions.

  • Constantly maintains reconciliation of bank accounts with Netsuite trial balance

  • Works with manager to ensure safe and accurate management of petty cash.

  • Actively works with Customer Service colleagues to research and resolve past due accounts.

To provide support on the following administrative duties;

  • Responsible for the support of the assigned AMEA leadership team members.

  • Organizing and arranging complex diary arrangements/management.

  • Arranging international travel, visas and accommodation including provision of itinerary where necessary.

  • Supporting the assigned AMEA leadership team members in preparation for meetings, this includes preparation notes and any other critical information.

  • Working with an internal network across various geographical areas.

  • Preparation of formal documents and letters.

To ensure the following general office duties are carried out efficiently:

  • Provide administration support to the team including mail and couriers.

  • Responsible for ordering stationery, office equipment, kitchen related ordered and catering for onsite meetings.

  • Act as main contact for all service providers and negotiate for materials and services.

  • Maintenance of company information including contacts list and email address

  • Screening of calls, enquiries and requests, and handling where appropriate.

  • Aid with Business Continuity Plans.

Minimum Qualifications

  • Experience of diary management within international time zones and international travel coordination, preferable.

  • Experience of accounts payable and financial accounting systems preferable

  • Experience within FMCG environment doing similar tasks.

  • Must be confident, assertive, high attention to detail, demonstrate a high degree of integrity and confidentiality where appropriate.

  • Good communication skills to liaise with all areas of the business and work constructively with a multitude of people across many cultures.

  • Critical thinking, excellent prioritization skills, flexible in a constantly changing environment.

  • Ability to use own initiative at all times.

  • Excellent organisational skills and strong decision making skills.

  • A positive 'can do' attitude is important as well as the ability to pick things up quickly, get on well with people and multi-task different projects.

  • Good excel skills and also competent other main Microsoft applications.

Plans, organizes and participates in Accounts Payable operational activities. Communicates with suppliers and exercises influence to resolve outstanding issues. ESSENTIAL JOB FUNCTIONS: 1. Analyzes multiple data file formats from the Suppliers using multiple software applications (Excel, Access, O&M systems) to create dispute exposure analytics to mitigate exposure. 2. Collaborates with Suppliers, Supply Chain Management and O&M Distribution Centers to monitor, document, resolve or escalate statement disputes or unvouchered receipts for assigned supplier portfolio. 3. Leads conference calls or on-site meetings with supplier partners to resolve issues and to develop process improvement. 4. Resolves discrepancies in a timely and fiscally responsible manner to ensure the attainment of supplier funding that is tied to Accounts Payable targets. 5. Prepares daily, weekly, monthly, quarterly and year-end reports used for reconciliation and reporting the ledger impact of potential exposure or loss of income. Presents the reports to management. 6. Compiles data analysis, prepares and processes force payment activity related to statement issues. 7. Resolves supplier inquires related to invoice payment, invoice terms and cash applications; evaluates Accounts Payables (AP) processes and recommends improvements. 8. Conducts research for internal audit and review of AP issues. 9. Develops, prepares and/or assembles reports, charts and graphs, as required. 10.
