POSITION SUMMARY:

The Team Administrative Assistant is responsible for a variety of administrative and analytical tasks to support members of the team. The role requires a highly organized individual with strong attention to detail, sense of urgency and ability to multi-task. Must be proactive and thrive in a demanding, fast-paced and constantly changing environment.

DUTIES and RESPONSIBILITIES:

  • Manage calendars, schedule meetings and set up conferences across multiple time zones.

  • Assist with various administrative aspects of the team, including but not limited to monitoring email, answering phone calls, mail services, general copying, filing and scanning.

  • Organize internal and external meetings, including logistics, attendees, materials and communications.

  • Schedule all travel within budget, producing travel itineraries and expense reports.

  • Assist in the preparation of PowerPoint presentations and Excel spreadsheets.

  • Provide marketing and sales support to branches and their teams.

  • Perform market research

EDUCATION, EXPERIENCE, KNOWLEDGE, and SKILLS:

Education and/or Experience

  • High school diploma required.

  • At least 18 years of age.

Knowledge/Skills

  • Highly organized individual with strong attention to detail, sense of urgency and ability to multi-task.

  • Advanced Microsoft Office (Word, Excel, Outlook and PowerPoint) skills.

  • Ability to handle confidential materials in a professional manner.

  • Effective communication and interpersonal skills (both written and verbal).

  • Ability to work on a team.

  • Strong analytical skills and ability to interpret.

You will provide comprehensive administrative support to the Senior Vice President and other leaders in the Credit Union team. You will be a liaison with other executives, and internal and external clients and partners, in a manner that reduces the team's administrative workload and allows them to efficiently redirect their efforts to deliver quality service for our clients. Responsibilities you can look forward to include: * Make Travel arrangements (includes air travel and hotel arrangements, ground transportation); ability to reach out to appropriate stakeholders on behalf of executives to determine logistics. * Manage Expense reports – compilation and processing. * Meeting coordination – determine appropriate location, coordinate catering, prepare and distribute support materials and supplies, communicate logistics information to participants. * Provide support for presentations, spreadsheets and other documents as required (includes preparation, proofreading, verification and assembly of documents. * Prepare and proofread reports, meeting handouts and other materials as necessary. * Make independent decisions regarding planning, organizing, and scheduling of work. * Assist in the preparation and control of records, statistics, and reports regarding operations, personnel changes, etc. * Screen and route phone/email/mail inquiries and information to appropriate personnel. Basic Qualifications for Consideration: * 7 years of experience, including experience supporting vice president-level. * Ability to organize and influence teams of people in a matrix environment. * Ability to work well under pressure. * Highly flexible and adaptable. * Team player with the ability to form relationships across all levels of the organization. * Strong interpersonal skills. * Strong organization and time management skills. * Ability to manage multiple tasks in parallel. * Flexibility in a changing environment. * Self- starter and ability to take initiative. * Ability to work in a high stress, rapidly changing environment. * Must maintain a high level of organization and the ability to prioritize under pressure. * Exceptional organizational and time management skills * Ability to manage multiple tasks simultaneously and to meet deadlines * Capable of exercising discretion and independent judgment * Ability to handle confidential information in a professional manner Preferred Skills, Experience, and Education: * Associate degree or higher preferred. * 10 years' experience supporting senior leadership * Previous financial industry experience is a plus * Experience with Workday Travel required: Up to 10% travel Who We Are: Credit Union Solutions at Fiserv provides integrated account processing solutions for more than one-third of the credit union marketplace, building a creative foundation for growth, as well as the technology needed to drive efficiency and deliver superior member service in a changing marketplace.
