This position reports directly to the AP Supervisor.
Audits invoices according to the policies and procedures established by JLL. Researches discrepancies, and approves for payment.
Verifies that reimbursed expenses comply with Company policy under the expense reimbursement policy. Creates and maintains files for all original audit expense documentation allowing for efficient subsequent research and auditing (both internally and externally). Verifies and posts details of expense transactions, such as deductions and total amounts to ledgers or computer spreadsheets and databases. Provides appropriate periodic reporting to management.
Provides information as needed to other Finance department personnel to facilitate journal entries, accruals and other activities as part the preparation of monthly financial statements. Responds timely to employee inquiries including, but not limited to requests regarding reimbursements, missing documentation and denied items under Company policy. Maintains information such as per diem rates, current IRS mileage rates, foreign currency exchange rates and other reimbursement rates.
Insures that Company intranet and training materials reflect current Company policy related to expense reimbursement. Assists as needed with employee training. Suggests policy changes or enhancements to management.
Notifies management of habitual offenders, fraud or other items, regardless of who committed the policy infraction. Performs other duties as needed.
SKILLS AND QUALIFICATIONS:
High-school diploma or general equivalency degree (GED) and two to four years related experience. Knowledge of commonly used concepts, practice, and procedures for expense report auditing.
Intermediate skills in Microsoft Word, Excel, Outlook, Microsoft Access. Knowledge of Peoplesoft accounting software is a plus. Relying on instructions and pre-established guidelines to perform the function of the job.
Excellent verbal and written communication skills. Works well in a team environment. Relies on experience and judgment to plan and accomplish goals.
Ability to interact with employees at all levels of the Firm and interface with external vendors as necessary. Ability to work overtime if needed.
The position is in Westmont, IL. The amount of travel is expected to be 0%.
