SUMMARY

Responsible for securing talent license agreements, game-used equipment, autographs, sketch and/or illustration content for inclusion in the Company's trading card, collectibles and memorabilia product lines with an emphasis on the company's entertainment properties. Maintains relationships between the Company and agents, actors, athletes, artists, and other personalities relating to license agreement, game-used, autograph and/or artist sketch & illustration acquisitions.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Works to secure talent license agreements within budget.

  • Responsible for the acquisition and delivery of autographs, RPS jerseys, Game-Used equipment, artist sketches, artist illustrations, or other asset procurement within scheduled dates for product releases.

  • Performs Purchase Order releases in JDE for talent contract purchases.

  • Interacts with Company staff members to resolve issues and coordinates assignments to meet strict product deadlines.

  • Interacts with outside business partners including signing representatives, agents, actors, athletes, and/or artists to coordinate signing sessions within specific deadlines.

  • Maintains relationships between the Company and agents, athletes, and other personalities.

  • Conducts UDA memorabilia in-person signings with Company's contracted talent, as requested by management.

  • Other duties as assigned.

EDUCATION/YEARS EXPERIENCE

  • High School Diploma or equivalent.

  • College Degree preferred, but not required

  • 2+ years of experience in the field of project coordination or related area.

KNOWLEDGE, SKILLS AND ABILITIES

  • Excellent oral and written communication skills.

  • Knowledge of sports and entertainment toy, trading card or trading card game industry preferred.

  • Excellent organizational skills with the ability to handle multiple, high priority projects with a keen attention to detail.

  • Strong interpersonal, problem solving, troubleshooting, customer service and relationship building abilities.

  • Professional demeanor; team player orientation.

  • Ability to interface with internal and external parties at all levels.

  • Knowledge of commonly used project coordination concepts, practices and procedures.

  • Ability to perform duties under minimal supervision while exercising discretion and independent judgment.

  • A high degree of confidentiality required.

  • Hands on, energetic and motivated self-starter with the ability to work additional hours as required.

  • Ability to travel on behalf of the Company with very little advance notice.

  • Ability to lift up to 50 lbs.

  • Proficiency in the following software or systems: MS Office.

Responsibilities: * Oversee the day-to-day operations of the GIA Alumni Association (GIA Alumni LLC) ensuring the efficient operations of the department and alumni chapters worldwide. * Under the leadership of the executive director, provide strategic oversight of global alumni engagement and outreach strategies with a focus on: * Achieving GIA business objectives * Increasing the depth and diversity of alumni relationships * Creating networking and career-enhancing opportunities for alumni members * Work closely with internal business partners to ensure the mission and strategies of GIA Alumni LLC are communicated and understood, and aligned with GIA's overall strategic goals as outlined in the strategic enrollment management (SEM) plan. * In partnership with department management, business development and marketing, review relevant market research, surveys and competitive analyses to recommend and determine areas of focus, type, cadence, of alumni events and messaging. * Represent the GIA Alumni Association at industry events and association meetings. * Oversee alumni portals for the CRM/SIS (Salesforce/Jenzabar). * Oversee the membership process. * Oversee content on the Alumni Web site. * Oversee special events for alumni with industry leaders, gemologists and travel professionals to plan engaging, educational trips to gem and jewelry centers worldwide. * Oversee the global Alumni recognition program. * Oversee Alumni Association presence at trade shows and outreach events. * Promote, support and act as an advocate both internally and externally for the GIA Continuing Education Program. * Maximize department talent to optimize team structure and create an environment of mentorship and professional development. * Manage department budget, resources (i.e. work equipment, work schedules, etc.) and policies and procedures to maximize productivity and operational efficiency. * Other duties as assigned. Technical Competencies: * Experience with a CRM system preferred. Salesforce experience a plus. * Proven customer service orientation and follow-up to ensure customer satisfaction, goodwill, and repeat business. * Thorough understanding of GIA education offerings, laboratory products and services or must be willing to learn. * Strong computer skills utilizing software such as Microsoft Office Suite, e.g., MS Word, Excel, PowerPoint; and e-mail. * Excellent grammar, written and verbal communication skills. * Awareness and understanding of global cultures. * Ability to work effectively cross-culturally. * Ability to display supportive behavior and communicate positively regarding department goals and objectives. * Ability to deal effectively with a variety of personalities to establish and maintain effective working relationships. * Willingness and ability to travel domestically and/or internationally, as needed.
