POSITION TITLE: TALENT MANAGEMENT ADMINISTRATIVE ASSISTANT

DEPARTMENT: TALENT MANAGEMENT

REPORTS TO: DIRECTOR OF TALENT MANAGEMENT / TALENT MANAGEMENT ASSISTANT

SUMMARY: The Administrative Assistant independently performs clerical; project management and administrative work in support of the Department of Talent Management.

ESSENTIAL DUTIES AND RESPONSIBILITIES: Other duties may be assigned.

  • Processes forms, letters, memos and materials related to department operations such as applicant records, staff records or reports, job postings, personnel actions, and other documentation, processes and essential transactions.

  • Supports recruitment and onboarding for certified and non-certified staff.

  • Maintains current and accurate vacancy spreadsheet for certified and non-certified positions.

  • Provides yearly seniority and longevity reports for non-certified staff.

  • Assists in processing yearly employee accrual balance roll over for district employees.

  • Complete and process teacher buy back forms forms for certified staff.

  • Complete and process loan forgiveness forms for staff.

  • Process and maintain information for non-certified Professional Stipend Program(s).

  • Maintains accurate and timely records, personnel files, database systems, ensuring accuracy and confidentiality of all district and employee data.

  • Conducts oneself professionally at all times, in accordance with the highest traditions of public education and in support of the District's mission.

  • Effectively works and communicates with all staff and school personnel within the district.

  • Serves as an extension of the Bristol Board of Education and Office of Talent Management in all interactions with staff and community.

  • Orders and prepares departmental materials and supplies, including processing purchase orders and ensuring proper approvals, receipt of products, coding and records.

  • Assists with departmental budget including monitoring billing and expenditures, balancing accounts, processing expense reimbursements and collecting department funds.

  • Demonstrates high levels of organizational excellence.

SUPERVISORY RESPONSIBILITIES:

None.

QUALIFICATION REQUIREMENTS: TO PERFORM THIS JOB SUCCESSFULLY, AN INDIVIDUAL MUST BE ABLE TO PERFORM EACH ESSENTIAL DUTY SATISFACTORILY. THE REQUIREMENTS LISTED BELOW ARE REPRESENTATIVE OF THE KNOWLEDGE, SKILL AND/OR ABILITY REQUIRED. EDUCATION AND/OR EXPERIENCE:

High School Diploma or General Education Degree (GED) preferred. Previous office experience is desirable.

LANGUAGE SKILLS:

Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively with parents, staff and students.

MATHEMATICAL SKILLS:

Ability to work with mathematical concepts appropriate to the position.

COMPUTER SKILLS:

Knowledge and experience with job related computer hardware and software applications. Demonstrated proficiency in operating a computer. Familiarity with computer systems such as Microsoft Office Suite, Google, Munis, and Frontline desirable.

REASONING ABILITY:

Ability to apply common sense understanding to carry out instructions furnished in written or oral form. Ability to deal with problems.

OTHER SKILLS AND ABILITIES:

Ability to establish and maintain effective working relationships with students, staff and the community. Ability to perform duties with awareness of district requirements and Board of Education Policies. Good public relations; good telephone technique; filing; operation of office machines; and adaptability.

While performing the duties of this job, the employee is most frequently required to actively circulate around the facility. This involves frequent transitions from standing, to sitting, to bending. The employee is required to work with hands and continuously will repeat the same hand, arm or finger motion many times as in typing or word processing. The employee must occasionally lift and/or move up to twenty-five (25) pounds, such as equipment and books. Specific vision abilities required by this job include close vision, depth perception and the ability to adjust focus.

The noise level in the work environment is usually quiet to moderate. The employee continuously is interacting with the public, staff and students. The employee frequently will be required to meet multiple demands from several people.

Salary: Class B of the Secretarial Contract

Work Year: 12 months a year / 7 hours day.
