Purpose

This job exists to assist with employee benefits, provide administrative support for Labor Relations, Learning, and Recruitment as needed, and help coordinate and support the actions of the team in all elements of the Talent & Culture Department. The T&C Coordinator is responsible for ensuring an environment exists where Colleagues perceive they have been responded to in a friendly, helpful and fair manner by T&C management, and where colleagues obtain accurate benefits and other related information about the hotel, T&C programs and policies, and for providing administrative support for Labor, Learning, and Recruitment efforts. This is an hourly position paying $28-30/hr.

Primary Responsibilities

Employer Branding

  • Support all employee relations activities such as recognition and celebrations.

  • Manage maintenance of event calendar; promote, create/order collateral as needed, set up and take down in a timely manner for holidays and diversity celebrations.

  • Assist with internal recognition programs like Heartist of the Month nomination and tracking process, create supporting materials, and promotion of results.

  • Update T&C boards to reflect current communications, policies, and employee-based events.

Recruitment and Selection

  • Assist the Assistant Director with SmartRecruiter functions as needed.

  • Assist with the creation of integration plans for leadership new hires and coordinate schedules accordingly.

  • Support the onboarding of new hires. Ensure new hire paperwork is completed thoroughly and accurately.

Induction and Onboarding

  • Follow and implement all Company and brand established onboarding procedures which ensure new colleagues feel welcome and all team members are prepared for the new colleagues' arrival;

  • Assist Assistant Director with delivering orientation.

  • Manage all new hire paperwork and files.

Compliance

  • Understand, communicate, implement, and adhere to all Talent & Culture policies & procedures.

  • Assist Assistant Director with LOA paperwork and submissions to respective agencies.

  • Maintain all benefit program information in an easy to access manner.

  • Manage commuter check program.

Administration

  • Assist with maintenance of job descriptions and job specifications

  • Maintain all employee files including current, confidential, and terminated statuses

  • Assist with the day to day administration and coordination of all activties within the Talent & Culture Department including: filing, photocopying, collating, mail, courier, phone and fax; typing of correspondence, reports, charts, tables, brochures and other collateral materials; drafting correspondence on own initiative for the approval of the Talent & Culture Assistant Director/Director; maintaining a confidential, accurate and organized filing system for employee personnel and disciplinary files;

  • Data entry and tracking of information into HR Systems (employee action forms, new hire files, status changes, training, benefits, pension, payroll audit trail, etc.).

  • Create name badges and IDs as needed.

Health & Wellness

  • Support a safe working environment by ensuring local regulations are posted and upheld for workplace health and safety;

  • Participate in regular fire drills, evacuations and training on safety and emergency procedures.

  • Support Director of Security by tracking Safety training topics and meeting minutes.

Qualifications

Critical Competencies

  • Diploma in related field;

  • Minimum of 1 year of experience in a Human Resources role;

  • Multilingual strongly preferred; English required; additionally Spanish, Chinese, and/or French;

  • Hotel operation experience is desirable;

  • Knowledge of local labor laws and employment law requirements;

  • Ability to support a collaborative environment;

  • Excellent interpersonal skills with ability to communicate with all levels of colleagues;

  • Excellent organization skills, ability to multi-task and maintain confidentiality;

  • Multicultural awareness and able to work with people from diverse backgrounds;

  • Flexible, able to embrace and respond to change effectively;

  • Ability to work independently and has good initiative;

  • Self-motivated, energetic, and participative.
