Responsibilities: * Receptionist (front desk presence, central phone coverage, welcome visitors) * Provide administrative support to multiple Business Leaders, with the following duties, but not limited to: * Heavy calendar management including scheduling video conferences * Screen and prioritize mail and incoming telephone calls; respond to inquiries and resolve issues requiring attention * Prepare written documents such as agendas, reports, and other meeting materials * Liaise with Regional Administrator and Facilities Manager to ensure proper function of the office environment including: * General office upkeep, which includes tidying offices, conference rooms, and pantry areas * 1st point of contact for maintenance issues (AC/heat/lights, repairs, service appointments) * Manage local floor plan, including seat changes and new hire set up * Mailroom maintenance (keep the mailroom in order, handle incoming/outbound overnight shipping, receive/distribute regular mail, receive/distribute faxes, process certified letters) * Manage catering orders for the NYC office * Management of stationary and business cards for all US offices * Provide light IT support (printer and copier paper and toner, video conferencing, coordinate new hire set-up and assist office visitors ) * Additional project work as needed * Provide back up support for offices across US * To include travel and expense reimbursements Requirements: * <li>Bachelor's degree preferred but not required * Minimum of 3 years of Administrative Support experience in a corporate environment; Financial Services experience preferred * High Proficiency in Microsoft Office – especially a mastery of Outlook, with demonstrated expertise in Word, Excel, and PowerPoint * Strong organizational skills and detail oriented * Exceptional interpersonal, organizational, business communication and time management skills * Excellent written and verbal communication skills * Able to multi-task and juggle priorities in a rapidly changing environment * Resourceful, proactive attitude * Ability to stay one step ahead of fast paced executives * Creative, solutions-oriented problem solving skills #LI-VG1 Hiscox is a leader in specialist insurance, underwriting a diverse portfolio of personal and commercial risks.
