To provide accurate and timely scheduling of surgical procedures from notification to completion of the surgical procedure.
Description of Duties
Assists the health care team by preparing patients for surgery with appropriate surgery scheduling, surgery calendar update, and obtaining pre-op orders.
Obtains surgical authorizations and/or referrals as needed.
Accurately schedules surgery cases and co-surgical cases and/or preoperative provider ordered procedures. Allows for standard or designated turn-around times. Alerts clinical leads of all late add-ons and or cancellations.
Maintains the knowledge of the CMS list of approved procedures in an ASC as well as the reimbursement table of all managed care contracts.
Coordinates processes and routes all paperwork as required to meet physician and facility requirements.
Obtains approval for all cases where the procedure, implants, or equipment is not covered by contracted or non-contracted insurance payers.
Contributes timely to the master surgical schedule including timely notification of any changes in surgery cases/schedules to surgeons, clinical staff and facilities as needed.
Documents all patient information in the electronic medical record, including surgical case scheduled. Documents work processes as required.
Practices positive customer service in all areas and ensures efficient telephone communication with all internal and external customers.
Interacts with patients, providers, and staff both within the clinic and at outside facilities providing accurate, timely and responsive information.
Facilitates the rescheduling of posted cases by coordinating with physicians or their designee, surgery scheduling coordinators and OR personnel.
Follows all written policies/procedures of the practice including safety, confidentiality, and HIPAA guidelines. Must be able to recognize and respond appropriately to urgent/emergent situations per protocols.
Identifies scheduling barriers and implements solutions to improve scheduling results based on predetermined goals.
Prepares and generates scheduling reports for review.
Adheres to internal controls established for the department.
Establishes and maintains a professional working relationship with the patients, physicians, staff and other external and internal stakeholders.

Required Education
High School diploma or GED.
Preferred Education
Bilingual (English/Spanish)
Licenses/Certifications
None.
Required Experience
Six (6) months experience working in a medical/clinical setting scheduling procedures and or making appointments.
Preferred Experience
Bilingual (English/Spanish). Knowledge of some medical terminology.
Equipment
Use of standard office equipment. Proficient in computers and software applications.
Working Conditions
Needs to be able to successfully perform all required duties. Office/Clinic Environment; some weekend work is required. Exerting up to 10 pounds of force occasionally, and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. UTRGV is a distributed institution, which requires presence at multiple locations throughout the Rio Grande Valley.
