Summary :
The Oncology Scheduler and Coordinator performs scheduling and coordination of care for Cancer Center patients to ensure that necessary information is in place to support quality, timely service. This includes scheduling diagnostic, hematology, radiation, and infusional services. Performing coordination for care navigation with patient financial advocacy collaboration. In addition, communicating essential information to patients regarding the services being ordered for both medical oncology and radiation oncology. The Oncology Scheduler and Coordinator performs these functions while meeting the mission and goals of ThedaCare and regulatory compliance requirements.
Job Description:
Oncology Scheduler based at Regional Cancer Care Appleton North Campus, however, may require travel to Cancer Care Outreach Clinics in Berlin, Neenah, Oshkosh, New London, Waupaca, and Shawano.
Key Accountabilities
Schedules patients including obtaining and validating demographic and insurance information while maintaining a 95% quality rating and meeting appropriate productivity metrics as well as ensuring appropriate procedure based on physician orders
Templates all providers schedules and manages them throughout the year
Schedules new patients for the cancer center and reviews chart to ensure proper information in regards to the diagnosis is received including but not limited to dosimetry and PACS for provider reviews
Understanding of chemotherapy drugs and length of infusions for patient and to comply with infusion templates
Care coordination of multiple visit types for radiation and medical oncology needs based on physician orders
Collaborates with Speech Therapy, Operating room and Urology departments directly for HDR, brachytherapy studies performed the department
Therapy plan reviews to ensure patients visits are scheduled appropriately and timely
Coordinates care for all radiation and medical oncology providers consults of new patients referred to cancer program
Manages in-baskets and incoming and outgoing referral work queues
Care coordinated with patient in person up to 80% of the day and over the phone providing proper care and support surrounding the patient needs
Provides proper patient instructions for chemotherapy and radiation surgeries and biopsies, while providing excellent customer service
Direct diagnostic hospital outpatient services scheduling for high end imaging services and laboratory services as needed
Communicates with pharmacists regarding medications and availability for infusion medications
Completes medical necessity/compliance checks as appropriate
Facilitates the flow of patient forms, patient letters, and data collection per department needs
Utilizes system-wide standards to correctly identify patients
Is accountable for point-of-service goals as assigned
Proactively problem solves access issues that arise when scheduling to meet patients need, which can include adjusting schedules to utilize unused time due to cancellations and to accommodate patient needs
Answers phones, takes appropriate action, and forwards when necessary to appropriate departments
Support system education classes, support system web master email, support appointment reminders for the system
Evaluate patients needs across the system and coordinate care as determined by ordering providers and performs administrative tasks to support operational needs of the areas
Qualifications
High school diploma or GED required
1-2 years of customer service experience preferred
Medical terminology and oncology background preferred

Use of computers throughout work day
Frequent use of keyboard with repetitive motion of hands, wrist and fingers
This position would be Monday and Thursday in Oshkosh and the other days in Appleton
Every other Tuesday off
