Overview

Greet and direct patients, families, physicians, and visitors; receives and directs all incoming phone calls; opens and distributes mail; obtains and verifies patient information; pre-registers and registers patients; assembles patient charts, schedule surgical procedures; post schedule of room assignments, scheduled cases, add-ons, changes, and cancellations; obtains demographic and surgical procedure information from surgeon's office; provide clerical support to administrative staff, business office and medical records clerk.

Schedule: Full-time, Monday-Friday (8am-4:30pm)

Responsibilities

1.Greet all patients, families, physicians and visitors and directs them as necessary; provides smooth admission activities.2. Verifies information, prepares paperwork, and makes necessary computer entries to register patients and initiate surgical visit.3.

Receives and directs all incoming telephone calls; takes messages and distributes as appropriate.4. Receives and distributes incoming mail and packages; assists with outgoing mail and packages.5. Communicates with clinical staff in order to coordinate the smooth flow of patient through the facility.6.

Obtains patient demographic, insurance and procedure data and enters into the computer prior to scheduled visit; assists with verification for accuracy as necessary.7. Initiates patient chart and completes appropriate labeling for the next day's schedule (prints chart packs and corresponding forms; assembles charts in order of admission; and places all necessary papers in each patient chart).8. Coordinates lab and x-ray requests9.

Enters data from post-operative telephone calls and postcards.10. Obtains release information, admission consent and payment responsibility acknowledgment from parent/guardian.11. Maintain and orders office supplies; verifies delivered goods with packing receipt.12.

Provide clerical support for all areas as needed.13. Schedules meals set up for monthly Committee Meetings14. Review medical records for completeness; assist billing staff as needed15.

Schedule surgical procedures according the rules and guidelines of the Surgery Center.16. Collects surgical information and makes room assignments consolidating surgeons' cases and anesthesia type17. Completes posting documentation and notification process involving newly scheduled cases, add-on, changes and cancellations.18.

Notifies Materials Management team of special requests for equipment.19. Prepares, copies, and distributes schedule for the next days' procedures to various areas.20. Reviews scheduler daily and makes modifications as necessary.21.

Notifies Anesthesiologist, Pathology, Lab, and Radiology of scheduled cases.22. Maintains medical staff documentation on privilege delineation, average usage time and operating room utilization.23. Promotes and enhances positive communications with physicians, their office staff and co-workers.24.

Maintains medical record assembly and review process; provides patient number, patient chart packs and labels for charts.25. Schedules Welcome Walks for Surgery Center.26. Maintains a neat and organized work space/area.27. Performs other related duties as assigned.

Qualifications

KNOWLEDGE , SKILLS AND ABILITIES REQUIRED1. High school graduate or equivalent.2.

Knowledge of filing, word processing, spreadsheet, medical terminology, coding, and office skills.3. Two years previous secretarial experience in the medical office setting; surgical scheduling experience preferred.4. Proficient in the use of a personal computer.5.

Excellent customer service skills to interact with department staff and the public.
