Provides confidential secretarial and administrative services for the Director of the General Surgery Residency Program. Acts as liaison to the State Board of Medicine, Educational Commission for Foreign Medical Graduates, Department of Homeland Security, immigration lawyers and other State and Federal agencies, as required. Maintains documentation as required to comply with Department of Labor and Department of Homeland Security guidelines.
Maintains files as required by the Accreditation Council for Graduate Medical Education (ACGME) and American Board of Surgery for program accreditation. Coordinates and administers human resources functions.
Job Duties & Responsibilities:
Provides confidential secretarial and administrative services for the Director and various members of the staff of the General Surgery Program. Maintains discretion relative to confidential and sensitive residency program issues.
Acts as liaison between medical students, residents, candidates, and the: hospital facilities (including Temple University of Medicine, Hospital of the University of Pennsylvania, Philadelphia College of Osteopathic Medicine, Lehigh Valley Hospital, and Children's Hospital of Philadelphia. )
Prepares and files appropriate documents with the State Board of Medicine to obtain medical training licenses for residents in the program. Acts as liaison between the State Board of Medicine and residents to resolve any discrepancies or problems.
Assists residents with applications for unrestricted medical license and DEA license, as eligible. Submits paperwork to Accounts Payable for reimbursement.
Assist Director in preparing documentation of General Surgery Residency Programs' compliance. Supervises collection of data fulfilling requirements of Accreditation Council for Graduate Medical Education (ACGME), American Board of Surgery, and other licensing and credentialing Boards; prepares reports and compiles statistics.
Responsible for the completion of internet-based surveys for various tracking agencies using extensive knowledge of residency statistics and information. These agencies include, but are not limited to: AMA-FREIDA, ABS, ACGME WebAds, GME Tracking, and NRMP matching program.
Assists Director in updating the annual General Surgery Residency Manual and Faculty Curriculum. Updates, copies and compiles St. Luke's Hospital Network's Residents' Institutional Manual for distribution to new residents.
Physical and Sensory Requirements:
Sitting for up to 7 hours per day, 3 hours at a time, frequently uses fingers for typing, data entry, etc. Frequent use of hands; uses upper extremities to rarely lift up to 10 pounds.
Occasionally stoops, bends or reaches above shoulder level. Hearing as it relates to normal conversation, seeing as it relates to general vision, near vision, peripheral vision, and visual monotony.
Training and Experience:
Associates degree is preferred and/or minimum of three to five years' experience in an educational or administrative capacity. Will consider high school graduate with five to eight years' work experience in a healthcare field.
