The Support Services Specialist provides support to the court for property accountability/control, space management, contracts, telecommunications, health/safety, security issues and records maintenance.

Responsibilities

Duties include but are not limited to the following:

  • Planning and coordinating a variety of service functions associated with the orderly and efficient operation of an immigration court.

  • Providing technical assistance to the Court Administrator (CA) and Immigration Court staff in the areas of procurement, supply management, equipment maintenance, contracts, property management and records storage and disposal.

  • Coordinating various aspects of procurement, supply management, equipment maintenance, contracts, and property management.

  • Providing guidance for various automated databases, to include but not limited to, payroll, personnel, financial management and travel.

  • Coordinating various Human Resources activities.

Qualifications

AREA OF CONSIDERATION: This announcement is open to current career/career-conditional employees of the Executive Office for Immigration Review (EOIR) in the competitive service. Applicants MUST submit their recent SF-50(s) reflecting this status.

TIME-IN-GRADE REQUIREMENTS: Merit promotion applicants having held a GS position in the past 52 weeks must meet applicable time-in-grade requirements.One year at the GS-7 grade level is required to meet the time-in-grade requirements for the GS-9 grade level. One year at the GS-9 grade level is required to meet the time-in-grade requirements for the GS-11 grade level. (Please submit your SF-50 that shows Time-in-Grade eligibility and reflects your title, series, and grade. No Award or General Adjustment SF-50's will be accepted).

In order to qualify for the Support Services Specialist position, you must meet the following minimum qualifications:

GS-09

Specialized Experience: at least one year of full-time (12-months) specialized work experience equivalent to the GS-07 grade level in the Federal service that included the following: 1) assisting with a variety of service office functions (i.e., procurement, supply management, equipment maintenance, contracts, property management and records storage and disposal) associated with the operation of a court; 2) identifying and resolving problems that require coordination and integration with various departments; 3) researching and analyzing support services actions, as well as procedural or policy matters; 4) processing personnel actions; and 5) operating automated systems to utilize software programs for tracking purposes.

OR

Education: possess a Master or equivalent graduate degree or two full years of progressively higher level graduate education leading to such a degree in business, accounting, finance, or other closely related field. (NOTE: You must submit a copy of your transcripts for verification.)

OR

Combination: an appropriate combination of successfully completed graduate level education and experience. To determine your combination, first compute your experience as a percentage of the experience listed above; then determine your education as a percentage of the education listed above; then add the two percentages. The total percentages must equal at least 100 percent. Only graduate education in excess of one full year (18 hours) may be used to qualify. (NOTE: You must submit a copy of your transcripts for verification.)

GS-11

Specialized Experience: at least one year of full-time (12-months) specialized work experience equivalent to the GS-09 grade level in the Federal service that included the following: 1) analyzing and implementing purchase card policies and procedures related to the procurement of supplies, equipment, and contracting services; 2) processing travel arrangements that require authorizations, approval of vouchers, and compensatory time off calculations; 3) researching and implementing support service actions, as well as procedural or policy matters; 4) processing personnel actions; and 5) operating automated systems to utilize software programs for tracking purposes.

OR

Education: possess a PhD. or equivalent doctoral degree or three full years of progressively higher level graduate education leading to such a degree in business, accounting, finance, or other closely related field. (NOTE: You must submit a copy of your transcripts for verification.)

OR

Combination: an appropriate combination of successfully completed graduate level education and experience. To determine your combination, first compute your experience as a percentage of the experience listed above; then determine your education as a percentage of the education listed above; then add the two percentages. The total percentages must equal at least 100 percent. Only graduate education in excess of two full years (36 hours) may be used to qualify. (NOTE: You must submit a copy of your transcripts for verification.)

Position Responsibilities * Provide five-star customer service at all times by responding to incoming visitors, telephone calls, email and other correspondence in a timely and courteous manner. Act as intermediary with owners/residents, vendors and staff to assist in prompt response to questions or problems. * Follow company policy by returning all calls and emails within 24 business hours. * Responsible for activating and mailing out pool access cards, gate remotes, and/or stickers for all communities * Upload all pool card data in various data software programs as well as Connect. * Ensure that the temporary monthly codes for the new year are disseminated and programmed into each applicable access gate. * Remove access of all previous owners when notified of title transfer by the accounting department or by the new owner upon receipt of closing paperwork. * Responsible for assisting management coordinators with overseeing inventory of pool cards, remotes, and stickers and notifying when inventory is low. * Cross-train and be able to perform duties in all departments under the Support Service purview * Provides service support administrative assistance to the Association Managers, as necessary. Duties include: * Overseeing all pool and gate card systems and distribution for assigned properties * Utilizes Connect to maintain accurate resident records. Responsible for information and document management. Ensures that all records are kept in good order. * Assist with onboarding of new communities by uploading data into the software database * Schedule gates open for community events or issue temporary access codes * Identify potential gate issues, research and dispatch the appropriate gate vendor and/or telephone company if necessary * Accept and review all architectural plan submittals * Serve as contact for all facets of the Architectural review process * Pre-review architectural modification submittals to ensure all requirements are met for the committee review * Upload materials for review into the designated software platform * Review site specific plans for approval per design guidelines * Pre-review Master Plans per design guidelines and forward to developers for review * Provide Support to other team members and committee members * Assist homeowners making payments in person and online * Manage and collect deposit and usage fee for amenities that are reserved * Assist Management Team in reserving/scheduling Annual and Board meetings, as needed * Schedule the clubhouse, swimming pool, pavilion and park for all communities and maintain an electronic reservation calendar in Connect for all communities * Maintain homeowner relationships, providing highest level of customer service at all times. * Follow safety procedures and maintains a safe work environment. * Promote FirstService Residential values of Loyalty, Integrity, Respect, Fun, Teamwork, Work Ethic, and Positive Attitude. * Perform other job-related duties as directed and miscellaneous projects as assigned Operating Skills, Knowledge & Abilities * Education/Training: High school diploma or equivalency required.
