Provides various levels of support and services to areas of the supply chain and operations, such as entering and processing information, working with carriers and providers to update information, track and trace details, and ensure service levels, and providing levels of customer service.

The Supply Chain/Operational Support path has five levels of responsibility, Clerk, Specialist I, Specialist II, Specialist II, Specialist III and Specialist IV. Each level performs increasing levels of support and understanding of logistics and operational details, the complexity and scope of operation, and degree of internal and external customer service provided.

KEY ACCOUNTABILITIES: Supply Chain Ops/Service Clerk

Summary:
Provides more standard support to areas of the supply chain or operations, such as entering information, updating logs and files, and responding to internal and external customer or operational questions. Generally the information is more routine and accessible, basic tracking and tracing and involves performing basic office and clerical duties.

  • Enters standard and more routine data in software systems and applications.

  • Updates logs, documents and files to track operational, carrier and customer information.

  • Receives and reviews documents for accuracy, such as dates, times, location, counts and related information.

  • Responds to basic internal and external customer questions on the status of operations, accounts or services; escalates more complex needs as required.

  • Prints and prepares forms, labels, billing, invoices and related documents to ensure timely awareness for processing.

  • Assists with tracking orders and information through systems, vendors and related sources, such as arrival, times, confirmation and similar details.

  • Performs basic office and clerical duties, such as preparing and sorting mail, maintaining logs, answering and directing phone calls, and related activities.

  • Performs other duties as assigned.

KEY ACCOUNTABILITIES: Supply Chain Ops/Service Specialist I

Summary:
Provides operational support to areas of the supply chain or operations, such entering and reviewing operational information, utilizing databases and systems to locate and verify information, and preparing documents for supply chain needs. Generally the information involves an understanding of related supply chain operations, tracking and tracking, and assisting with identifying and resolving operational issues.

  • Receives and reviews documents for accuracy, such as dates, times, location, counts and related information; applies a basic understanding of transportation and service operations.

  • Enters operational/customer transportation data in software systems and applications, such as purchase order and shipping and logistics times, rates, dates, and details.

  • Utilizes databases, logs, and other sources to locate and verify information; information is usually more routine and accessible.

  • Reviews or prints and prepares forms, labels, billing, invoices and related documents to ensure timely awareness for processing.

  • Tracks orders and information through systems, vendors and related sources, such as arrival, times, confirmation and similar details.

  • Responds to internal and external customer questions, provides information and escalates needs as required; may provide basic quotes.

  • Ensures compliance with company policies and procedures and a safe and effective work environment.

  • Assists with identifying potential operational or service concerns, notifies appropriate co-workers and assists with resolving.

  • Develops and maintains excellent customer service to internal and external customers at all times, such as working collaboratively, providing timely communications and instruction and assisting with operations as necessary.

  • Performs other duties as assigned.

KEY ACCOUNTABILITIES: Supply Chain Ops/Service Specialist II

Summary:
Performs a variety of operations to support to areas of the supply chain or operations, such as processing operational and customer data, assisting with running and summarizing reports, and understanding carrier requirements. Generally requires operational knowledge of customer and carriers, addressing various internal and external customer questions and concerns, and providing standard to complex customer service, quotes and tracking and tracking needs.

  • Receives and processes various documents for accuracy, which requires operational knowledge of customers, carriers, and procedures.

  • Enters various operational/customer data in software systems and applications, works to identify missing or potential operational or service concerns, and communicates with appropriate groups as necessary to resolve.

  • Utilizes databases, logs, and other sources to locate and verify information; information is usually operational in nature, standard to complex.

  • Addresses various internal and external customer questions and concerns regarding shipments, billing, status, services, carriers, and other needs; forwards complex or escalated customer needs as appropriate.

  • Tracks orders and shipments and assists with tracing as needed; usually more standard, regional or domestic operations.

  • Assists with running and summarizing operational reports and details; presents information to co-workers or supervisors are needed.

  • Interfaces with airlines, shipping, truck and related carriers to understand requirements, track shipments or details; operations are typically standard to complex.

  • Assists with preparing information required for quotes or address potential services; may provide more standard to complex quotes.

  • Ensures compliance with company policies and procedures and a safe and effective work environment; assists others with understanding operational items.

  • Develops working relationships with internal and external customers, assists with account management such as maintaining customer profiles, details and service needs.

  • Creates and processes invoices, reviews for operational accuracy, and works with customers on questions and payment.

  • Performs other duties as assigned.

KEY ACCOUNTABILITIES: Supply Chain Ops/Service Specialist III

Summary:
Performs complex to specialized support to areas of the supply chain or operations, such as identifying operational or service concerns, running and analyzing operational reports, and interfacing with carriers on requirements. Generally requires full knowledge of customers and carriers, addressing complex or escalated internal or external customer questions and concerns, and providing more complex customer service, quotes and tracking and tracking needs.

  • Receives and processes documents for accuracy, which requires complex knowledge of customers, carriers, and procedures.

  • Processes operational data in software systems and applications, identifies missing or potential operational or service concerns, and resolves with the appropriate groups.

  • Utilizes databases, logs, and other sources to locate and verify information; information is usually complex in nature.

  • Identifies and completes services or assists others that require special or expedited handing.

  • Addresses complex or escalated internal or external customer questions and concerns regarding shipments, billing, status, services, carriers, and other needs.

  • Tracks orders and shipments and assists with tracing as needed; usually more complex, domestic and may involve international operations.

  • Runs, analyzes and summarizes operational reports and details; presents information to co-workers or supervisors are needed.

Summary:
Serves as a lead to staff and performs the most specialized or complex support to areas of the supply chain or operations, which also includes working with supervisors to ensure staff are trained and overseeing operations for accuracy. Generally requires specialized knowledge of customers and carriers and providing the most complex internal or external customer service, quotes and tracking and tracking needs.

  • Prioritizes and assigns work and provides work direction.

  • Works with supervisors and trainers to ensure staff are trained, provides assistance and feedback and completes appropriate forms or documents when required.

  • Assists with overseeing the processing of services and customer service commitments to reflect established company policies, procedures, and requirements.

  • Identifies and completes services or assists others that require specialized or expedited handing.

  • Addresses sensitive, escalated internal or external customer questions and concerns regarding shipments, billing, status, services, carriers, and other needs.

  • Tracks orders and shipments and assists with tracing as needed; usually sensitive, domestic and may involve international operations.

  • Runs, analyzes, and summarizes more complex operational reports and details; presents information to co-workers or supervisors are needed.

  • Prepares information required for quotes or address potential services; provides more complex quotes.

  • Communicates with internal and external customers, carriers and providers on a variety of issues, to include arranging service, invoice and billing, service delivery, problem resolution, and other operational needs; assists others on specialized to sensitive needs.

  • Ensures compliance with company policies and procedures and a safe and effective work environment; assists others with understanding operational items.

  • Develops critical relationships with internal and external customers, assists with account management such as maintaining customer profiles, details and service needs.

  • Performs other duties as assigned.

MINIMUM QUALIFICATIONS:

Education:

  • High School Diploma or GED required. Specialist III and IV: Associates Degree, or equivalent combination of work experience is preferred.

Experience:

  • Clerk: Prior office experience is preferred.

  • Specialist I: Two years of office experience in a logistics/transportation environment.

  • Specialist II: Five years of support experience in a logistics/transportation environment.

  • Specialist III: Two years of specialized logistics or related operations support experience.

  • Specialist IV: Five years of specialized logistics or related operations support experience.

Knowledge/Skills/Abilities:

Clerk:

  • Basic customer service principles and practices.

  • Office operations principles and practices.

  • Performing data entry.

  • Must be able to read, write, and speak English fluently.

  • Communicating with co-workers to provide and receive direction.

  • Verifying information and status.

  • Basic proficiency in Microsoft Office, Internet, web-based and job specific software applications.

Specialist I:
