Job Summary

Identifying misalignment of global standards for clinical trial kit products for proposed product use to ensure strict compliance regulatory directives, including CE, FDA, Health Canada, NMPA, and Ministry of Health. Drive global alignment by collaborating with cross-functional teams in Medical Affairs, Project Management, Quality, Logistics, Warehouse, and global sourcing divisions across North America, EMEA, LATAM, and APAC to fulfill sponsor-driven business objectives.

Essential Functions

  • Implement advanced methodologies to maintain accurate and comprehensive item information.

  • Utilize tools such as Demand Order Management, WebCSM, Salesforce, Peoplesoft FSA, Master Data Management, and Exacta to enhance data accuracy, streamline performance, and boost operational efficiencies.

  • This role demands an adept problem-solver capable of managing multiple concurrent new item requests, requiring critical thinking and sound judgment.

  • Key responsibilities include navigating diverse global regulatory landscapes and ensuring products meet compliance requirements.

  • Develop and oversee initial inventory levels to align with study startup dates, balancing supply and demand to support operational timelines effectively.

  • Proactively identify and mitigate risks associated with quality inventory and global shipping, implementing strategies to safeguard against potential disruptions and maintain high standards.

  • Cultivating and managing relationships with current suppliers, overseeing their performance, and resolving issues related to products.

  • Conducts market research and analysis to identify potential product solutions.

  • Collaborating with cross functional teams to review sponsor requirements and needs for clinical trial kits.

  • Ensuring the accuracy of new and existing product information within various internal systems.

  • Identifying misalignment of global standards for proposed product to a team that includes resource planning, legal counsel, and other sourcing teams worldwide.

  • Facilitates the new item request process, which includes setting up new products, establishing container codes, implementing Peoplesoft FSA components, and communicating with various teams.

  • Effectively execute comprehensive product evaluations to ensure alignment with fit, form, and function criteria, confirming that products meet both design specifications and applications.

  • Ensure products comply with international regulatory standards and facilitate all levels of approvals for market entry.

  • Collaborate with suppliers to secure optimal pricing and negotiate terms, ensuring the availability of required stock levels while balancing cost efficiency and supply chain reliability.

Functions

  • Effectively communicate with multiple internal teams, including Medical Affairs, Project Management, Quality, Logistics, Warehouse, and global sourcing across all divisions.

  • Manage critical communication across various levels of the organization and with global suppliers.

  • Conduct daily, weekly, and monthly verbal and written communications with global suppliers to assess production capacity and confirm order details, ensuring clarity and precision in all transactions.

  • Engage in cross-functional collaboration, including Legal and Compliance for regulatory guidance, Project Management for sponsor item approvals, and Warehouse teams for inventory management to align objectives and operational workflows. Analyze and report on new item request (NIR) metrics, identifying trends and challenges to inform continuous improvement and strategic plannings.

Education/Qualifications/Certifications and Licenses

  • Minimum: High school diploma with eight (8) years of procurement experience and eight (8) years of sourcing work experience.

  • Preferred: Bachelor's degree in supply chain/procurement/operations with two (2) years of procurement experience and 2 years of global sourcing experience.

  • Possess excellent written and verbal communication skills, proficient at engaging with stakeholders across all organizational levels, from team members to executive leadership, ensuring clarity and alignment on goals and timelines.

  • Skilled in presenting and summarizing progress on new item requests to Project Management, Commercial teams, and leadership, including EVPs, confirming strategic objectives and study start dates are met.

Working Conditions

  • Work autonomously with minimal supervision and demonstrate exceptional self-reliance in managing tasks and achieving objectives independently.

  • Experience and comfort with remote work, utilizing various digital tools and platforms to stay productive and connected.

  • Takes initiative to identify opportunities for improvement and proactively addresses challenges without needing external prompts.

  • Outstanding ability to organize and prioritize work and maintain meticulous attention to detail, ensuring efficient workflow and timely completion of tasks.

  • Highly motivated with a strong drive to meet and exceed goals.
