Duties

The Supervisory Medical Support Assistant (Supervisory MSA) plans and directs programs at Imaging Center and/or satellite outpatient clinics and has full supervisory responsibility. Assignments may include, but are not limited to: assigning and evaluating the work of subordinate staff; resolving complex problems to ensure patient services are met; evaluating new products, equipment, and systems in order to make recommendations for improved operations; identifying educational or training needs; making final decisions on selections; evaluating performance, and taking disciplinary action when necessary. The Supervisory MSA has full administrative and professional responsibility for planning and directing the MSA's activities. Responsible for extracting and analyzing data to provide reports in support of performance measures to senior management. Responsible for monitoring pending/unscheduled orders for all modalities and ensuring that all MSA's are meeting the scheduling guidelines. Works directly with the MSA's in scheduling, telephone etiquette, and customer service skills. Provides individual training to each medical support assistant and evaluates on-going training needs.

The Supervisory MSA is responsible for monitoring MSA's required VA training and performance plans, to ensure that the Medical Support Assistant is meeting the full successful standard. Provides support to the Medical Support Assistant in setting and reaching performance goals. Provides continuous training on new directives, polices and departmental practices. Responsible for cross training all subordinate staff to always ensure coverage to all areas. Providing back-up coverage in all Medical Support Assistant activities when necessary. Evaluate workload and the needs of the department as it relates to scheduling, reception coverage and imaging duplication services. If changes are necessary, consult with senior management to define and plan changes to ensure it meets the needs of the department. Serves as the liaison between the patient and all other providers in the multi-disciplinary health care team. The Supervisory MSA promotes good customer relations by greeting and assisting patients, and monitoring patient flow. Answers patient questions and/or concerns accurately and efficiently while treating all patients in a professional and courteous manner. Follows up with patients regarding questions and requests for information or assistance.

Qualifications

Basic Requirements:

  • United States Citizenship: Citizen of the United States. (Non-citizens may be appointed when it is not possible to recruit qualified citizens in accordance with VA Handbook 5005, Part II, Chapter 3, Section A, paragraph 3.g.).

  • English Language Proficiency: Medical Support Assistants must be proficient in spoken and written English in accordance with VA Handbook 5005, Part II, Chapter 3, Section A, paragraph 3.j.

  • Experience and Education:

  • Experience. Six months experience of clerical, office, customer service, or other administrative work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position; OR,

  • Education. One year above high school; OR,

  • Experience/Education Combination. Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable.

May qualify based on being covered by the Grandfathering Provision as described in the VA Qualification Standard for this occupation (only applicable to current VHA employees who are in this occupation and meet the criteria).Grade Determinations: In addition to the basic requirements, you must meet the grade requirements and demonstrate the knowledge, skill and abilities

GS-8 Supervisory Medical Support Assistant

Experience: One (1) year of experience equivalent to the GS-7 grade level, leading or supervising MSAs or equivalent administrative patient support staff in a non-VA medical inpatient, outpatient, or interdisciplinary setting.

AND

Demonstrated Knowledge, Skills, and Abilities: Candidates must demonstrate all of the KSAs below:

  • Ability to provide the full range of administrative and supervisory duties to at least one subordinate MSA supervisor or team leader in a patient support setting which includes assignment of work, performance evaluations, selection of staff, and recommendation of awards and/or advancements.

  • Ability to collaborate, communicate, and demonstrate customer service and interpersonal skills with internal and external customers to ensure quality/continuity of care and ensure compliance with established policies and regulations.

  • Ability to provide briefings, orientations, staff development, and training in a patient support setting.

  • Ability to manage fiscal matters, forecast resource and equipment needs, and identify budget needs.

  • Advanced knowledge of managing or leading patient support staff in a clinic. This includes independently utilizing reference sources, decision making, and empowering the team to collaborate and resolve problems within a complex systems environment.

Physical Requirements: The work requires some physical exertion, such as extended periods of walking while making clinical rounds or making contacts with other services of the Medical Center. There are also some requirements for standing, twisting, bending, sitting, and carrying of supplies. Must be able to lift (30 lbs.) and carry short distances.

There is no education substitution at this grade level.

Receiving Service Credit or Earning Annual (Vacation) Leave: Federal Employees earn annual leave at a rate (4, 6 or 8 hours per pay period) which is based on the number of years they have served as a Federal employee. Selected applicants may qualify for credit toward annual leave accrual, based on prior work experience or military service experience. This credited service can be used in determining the rate at which they earn annual leave. Such credit must be requested and approved prior to the appointment date and is not guaranteed.
