PRIMARY PURPOSE:

Position is responsible for all phases of lease administration and billing within the team and to make sure the team is timely in the administration and processing of all charges to tenants. Perform reporting as required by department policies. Perform audits regarding revenue billings to ensure maximum recovery. Lease data is used by all areas of the Company thus it is extremely important the data is accurate and timely. Maintain knowledge of how the data impacts other areas of Simon. Provide leadership and development to the team and department

PRINCIPAL RESPONSIBILITIES:

The successful candidate's responsibilities will include, but not be limited to:

  • Oversee daily work of staff. Ensure timely completion of subordinates work assignments and subordinates compliance with departmental and corporate policies, procedures, and guidelines. Monitor tracking schedules, to do lists and reallocate resources as appropriate.

  • Coordinate the preparation and review of tenant billing recoveries for Common Area Maintenance and real estate taxes in accordance with published deadlines.

  • Develop and/or review responses of complex questions on subject billing matters from tenants. Escalate issues timely as appropriate. Identify portfolio impact of issues.

  • Ensure that lease data is timely input into the system is consistently analyzed and bills are prepared accurately with lease terms in accordance with target dates.

  • Ensure that processing of all documents are timely processed and invoices generated for lease renewals, supplements, assignments, expirations, cancellations and terminations and relocations in accordance with target dates.

  • Review Percentage Rent Bills and potential billings for applicable properties and ensure timely completion. This includes non-standard collections and analyzing holdover language.

  • Coordinate the preparation and review of variance comments on CAM/Tax true-ups and to ensure consistency and in accordance with corporate policy.

  • Development of new procedures and enhancement of existing procedures. Recommend enhancements to improve efficiencies and maximize the utilization of departmental resources.

  • Coordinate or perform issue resolution when Collections or Lease Analysts are unable to resolve a tenant question. Provide alternatives and recommendations in a timely manner.

  • Lead Due Diligence activities on potential acquisitions. Participate on the integration team for newly acquired properties.

  • Participate as a team leader/team member in corporate initiatives regarding workflows and systems.

  • Coordinate training for all staff on their Preparation of performance evaluations for subordinates.

  • Provide leadership and professional development guidance to members of their staff.

  • Prepare Major Closing impact analysis as requested by the Managing Director.

  • Coordination of monthly rent roll invoicing for the entire portfolio

  • Review of billing/workflow trackers and exception reports to ensure staff is maintaining department expectations related to performance

  • Interview new hire candidates as needed

  • Other duties as assigned.

MINIMUM QUALIFICATIONS:

  • Bachelor's Degree in Accounting, Finance or Business related field and minimum two years professional experience or minimum of three years in Retail Lease Administration.

  • Minimum three years experience in Retail Real Estate Management/Development and/or relevant Accounting experience.

  • Knowledge of Accounting and Real Estate business principles.

  • Ability to analyze and interpret lease language.

  • Excellent written and verbal communication skills.

  • Ability to handle multiple priorities and manage heavy workload.
