Job Summary:

The Supervisor Health Information Management (SHIM) is responsible for providing oversite to, and supervision of, the Health Information Department which includes the Medical Records, Administrative Documents, and Transcription services of Diversus Health. The SHIM is responsible for overseeing the processing, transfer, and security of patient health information. The SHIM ensures that the health information maintains its quality, accuracy, accessibility, and compliance with the relevant standards and regulations. The SHIM will supervise and train the Health Information staff in the day-to-day performance and provide them with the necessary tools and guidance to perform their duties effectively. The SHIM collaborates with all departments and external stakeholders to facilitate the exchange and utilization of health information data. The SHIM utilizes their knowledge, skills, and abilities in Health Information Management, technology, and leadership to improve the quality of care and service that Diversus Health provides to consumers.

Essential Functions:

  • Plan, direct, and monitor the daily activities of the health information team, including medical records, administrative documents, and transcription services, ensuring that they are preformed accurately, efficiently, and professionally.

  • Develop and implement policies, procedures, and best practices for Health Information Management, including data collection, storage, analysis, retrieval, and reporting, ensuring compliance with the organizational, legal, and regulatory requirements.

  • Oversee the processing, transfer, and security of patient/client health information, ensuring that it is maintained, updated, and protected in accordance with the standards and protocols.

  • Ensure the integrity, quality, security, and accessibility of all Administrative Documents are following ethical standards.

  • Collaborates with other leaders, staff, departments, and external parties to develop, exchange, and utilize Administrative Documents effectively and efficiently.

  • Monitor and evaluate the performance and quality of Health Information systems and processes and identify and resolve any issues or problems.

  • Oversee the transcription of voice recordings from health care appointments into client charts and verify their accuracy and completeness.

  • Provide training and guidance to the Health Information Department staff and conduct regular audits and reviews of their work.

  • Prepare and present reports and statistics on health information data and provide insights and recommendations for improvement.

  • Collaborate with other departments and external stakeholders, such as providers, patients, insurance companies, and vendors, to facilitate the exchange and utilization of health information data.

  • Research and evaluate the best practices and emerging trends in health information management, participating in continuing education and professional development activities, and proposing and executing innovative initiatives to enhance the quality, efficiency, and accessibility of services.

  • Ensures project/department milestones/goals are met and adheres to approved budgets.

  • Represents Diversus Health as a professional, ethical, and positive steward of the mission of the organization during community meetings and events.

Supervisory Functions:

  • Recruits, interviews, hires, and trains Health Information Department Staff.

  • Oversees the daily workflow of the Health Information Department.

  • Provides constructive and timely performance evaluations to include needed feedback throughout the year.

  • Handles discipline and termination of employees in accordance with company policy in collaboration with HR team.

Knowledge/Skills/Abilities:

  • Minimum: Bachelor's degree in health information management, health care administration, business administration, - OR - equivalent work experience is required

  • Minimum 7 years of progressive experience in health information management, or related field, required; experience in a leadership or management role preferred.

  • Excellent verbal and written communication skills, including presentation and report writing skills, required.

  • Excellent interpersonal and customer service skills, including ability to work effectively with diverse groups of people, required

  • Knowledge of Health Information Management principles and practices.

  • Knowledge of health information technology applications and systems, such as electronic medical record (EMR), database, and software.

  • Knowledge of health information privacy and security laws and regulations, such as HIPAA and HITECH

  • Skills in problem-solving, decision-making, and critical thinking, applying creativity, innovation, and logic to complex and ambiguous situations.

  • Skill in adapting to change, managing multiple priorities, and working under pressure, demonstrating flexibility, resilience, and initiative.

  • Skills in leadership and teamwork.

  • Skills in project management, including planning, scheduling, risk management, reporting, and more.

  • Advanced computer skills to include proficiency in Microsoft Suite.

  • Ability to manage Health Information in compliance with legal guidelines and respond to questions and challenges if legal issues occur.

  • Ability to evaluate current systems and processes and decide where improvements or changes need to be made.

  • Ability to supervise and train the Health Information Department staff and conduct regular audits and reviews of their work.

  • Ability to work in a fast-paced environment with multiple, concurrent priorities needing immediate resolution.
