Position Summary

The Facilities Supervisor is responsible for delivering quality and reliable services to the academic and administrative units on the

Morningside Campus. Supports the programmatic and fiscal strategy for achieving departmental goals. Directs maintenance and custodial staff in the delivery of services necessary to maintain facilities in the most efficient and effective manner.

Responsibilities

  • Assists the Director in developing priorities in the capital and refresh program to realize departmental objectives.

  • Manages workload across the unit to assure a timely and quality response to requests for service.

  • Plan and implement projects within the capital and refresh program.

  • Determines the most effective manner to allocate resources during periods of peak demand.

  • Administers performance standards to meet the service expectations of a broad client base and productivity measures to identify and track progress and customer satisfaction.

  • Continually assesses performance through established standards and applies corrective measures as required.

  • Coordinates development and implementation of staff programs, routines and schedules.

  • Analyzes feedback and adjusts programs, schedules, and labor requirements accordingly.

  • Supports the Director and works closely with other managers and supervisors across Facilities Management to ensure a well-coordinated effort to maximize the provision of complimentary services.

  • Supports safety programs for the continual maintenance of a safe work place and a safety conscious staff.

  • Involved in managing parts and materials inventories for the shops to ensure adequate stocking levels.

  • Participates in the hiring, training, evaluation, and termination of staff as required.

  • Interprets the collective bargaining agreement and resolves issues that may arise.

  • Evaluates and makes recommendations on equipment, supplies and procedures.

  • Insures that all staff activities and programs are accomplished in accordance with statutory requirements and regulatory guidelines.

  • Performs other related duties as required.

Minimum Qualifications

  • Bachelor's degree and/or its equivalent, plus a minimum of 3-5 years related experience required.

  • A minimum three to five years experience in positions of increasing responsibility in custodial services and/or maintenance or a related field, preferably in a large complex organization.

  • Experience in managing a work force necessary.

  • Excellent interpersonal and written communication skills required.

  • Computer literacy preferred.

Provide excellent partnership and customer service to all H&M group stakeholders. This position will be based in our Corporate Office in Manhattan, NY and will be supporting the Midwest Region. Job Responsibility including but not limited to: People and Teams: * Identify potential future Facilities Managers to secure Succession Planning goals * Support with the training and development of new Zone Facility Managers * Promote a positive feedback culture * Communicate clearly to all relevant stakeholders about business performance and goals * Educate Store Management teams in an inspiring way on all facility aspects to promote local ownership Planning: * Set H&M Group requirements for the Facility Management service scope to maximize selling and to minimize long term cost together with relevant internal H&M Group teams based on the Global Requirements, Regional and Country Requirements and local legislation * Ensure that specific business needs are considered in the requirements while striving to keep alignment between stores and within the H&M Group in its' entirety * Responsible to achieve Facility Management service scope budget based on agreed requirements & planned activities * Meet with all stakeholders to safeguard that Facilities is considered in initiatives and developments * Responsible to work on assigned projects as an owner's representative by working both individually as well as in a team with H&M group and external stakeholders including but not limited to landlords, consultants and subcontractors * Responsible to develop strategic improvement plans according to cost and quality follow up by partnering with Regional Facilities Managers and/or Construction Project Managers Routines: * Responsible for managing, maintaining and securing the full Facility Management service scope and meeting KPI's for all H&M Group sites * Supports with all energy management initiatives * Supports with all utility accounts and initiatives * Manage and execute shop fitting and lighting improvements to maintain best customer experience * Manage and execute all cleaning initiatives follow-up with internal and external stakeholders to ensure agreement is being met * Responsible for reviewing, preparation and execution of department invoicing * Manages & executes all minor single trade construction projects to maintain best customer experience * Manages all remediation and restoration of any H&M Group sites * Orders and confirms delivery of all interior product necessary for projects * Responsible for setting, driving and coordinating all time schedules involved in the construction of the project Profit: * Support procurement or tendering process for Facility Management contracts within the agreed Facility Management Service scope according to guidelines * Secure the Facility Management Service delivery to the H&M Group based on the agreed requirements & the planned activities * Ensure contractual compliance of Service delivery from external service provider & landlord incl. governance structure * Execute agreed initiatives and improvements as necessary for the H&M Group * Monitor and follow up on quality performance of the H&M Group locations based on predefined quality measures by performing quality reviews on a regular basis * Responsible for creating and delivering CAPEX, OPEX and investment budgets for the H&M Group sites for all projects * Partners with Construction PM for H&M Group Scorecard planning, execution, and follow up for all new sites and optimizations Financial Accountability: * Reports on expenditures in excess of $20 million * Manages and reports on budget for all assigned projects * Solicits and manages vendor proposals and invoicing * Budgets costs of work for potential new projects with Facilities Analyst Minimum Candidate Qualifications * Bachelor's Degree is preferred with a focus on business, accounting, or construction * Minimum of 4 years' experience in facility management, multi-site retail environment preferred * Proficient at analyzing schematics, diagrams, blue prints, charts and or other reference material * Must have a valid US Driver's License Competencies: * Strong time management, problem solving, and prioritization skills * Demonstrated leadership and negotiation skills * Professional, thorough, organized, and detail-oriented * Ability to work in a fast-paced environment * Excellent verbal and written communication skills * Experience work order management systems necessary * Proficient at Microsoft Office systems * Ability to manage large portfolio of sites minimum of 30+ as well as manage multiple projects simultaneously and excellent prioritization skills * Must have open availability including nights and weekends for emergencies * Required domestic travel at least 30% of the time.
