The Customer Service Supervisor is responsible for direct supervision of the Customer Service Department for hospital and professional billing across the health system. Supports customer service daily operations that include bad debt management, bankruptcy/legal, and financial assistance, directing and managing all activities associated with the call center operations, developing and implementing policies and procedures, establishing a process improvement workflow to enhance efficiency and effectiveness of operations, and ensuring productivity targets and quality metrics are met and/or exceeded by staff.

Serves as a subject matter expert on patient resolution and acts as a first or second escalation point for conversations with difficult customers who request a manager or director. Provides education and training to staff. Performs quality assurance checks by analyzing employees' workload and facilitates process improvement as it relates to Customer Service and Financial Assistance.

This position require the use of independent judgement and decision-making. Work situations require strong analytical skills, fact-finding, problem solving, and leadership.

The Cook Children's Cash Management, Customer Service and Document Control departments function as a part of a Single Billing Office (SBO) that supports all of Cook Children's Health Care System. The ultimate goal of the SBO is to integrate customer service and self-pay collection activities across Cook Children's Medical Center and Cook Children's Physician Network, providing a single point of contact, a single patient billing statement and increased transparency to guarantors thereby improving the patient collection process and patient experience.

Qualifications

Education and Experience

Minimum: High school diploma or equivalent. 3 years of experience working in customer service and/or healthcare related field. 2 years in a lead worker position or proven supervisory experience.

Excellent human relations skills. Ability to type, spell, write or print legibly with accurate data entry skills and use computer and other office equipment.

Preferred: Associates Degree with 3 years of experience working in customer service and/or healthcare related field. 2 years in a lead worker position or proven supervisory experience.

Excellent human relations skills. Ability to type, spell, write or print legibly with accurate data entry skills. Proficient computer skills, including MS Office (Word, Excel) and other document imaging systems.

Knowledge of Epic Systems and/or OnBase. Working knowledge of professional and hospital billing and follow-up preferred.

The Customer Care Division answers calls for the following departments: Code Compliance - Animal Care and Control, Code Enforcement, Environmental, and Solid Waste; Park & Recreation – Forestry; City Manager's Switchboard, and Transportation & Public Works – Construction Services, Parking Meters, Storm Water, Streets and Traffic. The position provides a leadership role for the Sr. Customer Service Representatives to drive performance, utilizing Work Force Management tools to manage staff, provides feedback for quality calls, and resolves complex customer services issues on behalf of the Communication & Public Engagement Department for various issues and concerns. In addition, this position will work with internal customers to streamline processes to increase customer satisfaction. Improving the overall efficiency within the City of Fort Worth, this contributes to the City's vision of the "most livable and best managed city in the country". In addition, this position will serve as one of the two Customer Care Call Center Leadership team members, supporting and reporting directly to the Customer Service Manager, Communication & Public Engagement Customer Care Division; and will develop professional growth and development through supporting other areas. Regular work schedule is Monday – Friday and must be able to work nights and weekends if or when needed. Core Responsibilities: * Supervises staff, which includes prioritizing and assigning work; conducting performance evaluations; ensuring staff is trained; ensuring employees follow policies and procedures; maintaining a healthy and safe working environment; and, making hiring, termination, and disciplinary decisions or recommendations. * Coordinates the organization, staffing and operational activities for customer services in support of assigned department. Responds to customer inquiries or complaints. * Directs, coordinates and reviews the work plan for assigned customer services and activities; assigns work activities and projects; monitors work flow; reviews and evaluates work products, methods and procedures; and meets with employees to identify and resolve problems. * Monitors and evaluates the quality, responsiveness, efficiency and effectiveness of assigned city service programs, service delivery methods and procedures; and works with employees on the continuous improvement of city services. The ideal candidate will have strong skills in: * Call Center Management; * Strong oral and communication skills; * Produce clear and concise report and briefings; * Effectively use and learn computer programs and software; * Ability to apply concepts of good customer service in the work environment; * Customer service knowledge, training, & best practices; * Resolve complex customer service issues/inquiries; * Conflict resolution; and * City and departmental strategic and customer focus/citizen engagement goals. Qualifications: HS Diploma/GED and four years of responsible customer service experience, including one year of administrative and/or lead experience. Preferences: Preference will be given to applicants with: * Higher levels of education and/or experience preferred. * Experience with Call Center Management/business in building effective teams who achieve goals and maintain quality standards. * Working knowledge of Workforce Management Software. * Experience with Microsoft Office Suite (Word, Excel, and PowerPoint). * Bilingual skills (English/Spanish).
