Department Summary

At HSC, we are preparing for the future of health care and fulfilling our mission to create solutions for a healthier community. A large body of scientific literature supports a strong relationship between lifestyle habits and health. It is estimated that 70 to 80 percent of chronic disease conditions such as Type 2 diabetes, coronary heart disease, hypertension, obesity, and some types of cancer are directly attributable to lifestyle behaviors. As a result, 75% of our health care dollars go toward treating these lifestyle-related conditions. This model of care is not sustainable. Therefore, there is a growing demand for providers who can cost-effectively address lifestyle behaviors to promote sustainable change for optimal health and well-being.

The Department of Personalized Health and Well-Being is filling this gap by bringing together an inter-professional team to develop innovative, educational programs and research endeavors that focus on merging evidence-based lifestyle medicine with National Board for Health and Wellness Coaches (NBHWC) coaching competencies. Our graduates will have foundational knowledge and skills that will prepare them to empower others to mobilize internal strengths and external resources in order to achieve true self-care reform.

Position Overview

The Supervisor Clinic Operations position is responsible for overseeing and managing the operations of ForeverFit cancer exercise clinic. They ensure the smooth functioning of the clinic by coordinating various activities and supervising staff members. The manager develops and implements strategies to enhance clinic efficiency, maintain high-quality patient care, and achieve organizational goals.

Minimum Qualifications

Bachelor's degree and three (3) years related experience; or equivalent combination of education and experience.

Knowledge, Skills and Abilities

  • Ability to provide team leadership to coordinate, oversee, and monitor clinical scheduling, clinical operations.

  • Must be computer literate and technologically competent to communicate in written and electronic media at all levels within a health care organization.

  • Knowledge and demonstrated capability of using clinical scheduling software, electronic medical record systems, and Microsoft Office software applications.

  • Excellent written, verbal and interpersonal communication skills.

  • Ability to provide encouragement to team members, including communicating team goals and identifying areas for new training or skill checks.

  • Ability to respond to Clinical Operations Team member questions, concerns, and oversee team work assignments for quality and policy compliance.

  • Ability to provide quality customer service, including interacting with clients, responding to inquiries and effectively handling clinical operation issues and concerns.

  • Ability to prioritize and multitask in an effective and efficient manner while meeting all required deadlines.

Preferred Qualifications

The preferred candidate will possess the following additional qualifications:

  • Master in Exercise Science.

  • Experience in working with cancer patient populations.

  • Experience supervising staff.

Required License/Registration/Certifications

  • BS or BA degree in exercise science, exercise physiology or kinesiology

  • Current NCCA, NSCA, ACSM, NASM or ISO/IEC fitness certification

  • CPR/AED Certified

Job Duties:

  • Administrative Responsibilities Provide ongoing supervision of, performance evaluation, and coaching to clinic employees to ensure high-quality patient care and professional development. Foster a positive work environment by promoting teamwork, collaboration, and open communication among collaboration. Conduct regular staff meetings to disseminate information, discuss clinic updates and address any concerns. Approve time leave and flex time for employees. Complete check-ins, OKRs and EOY evaluations for employees Reports for key funding partners Check referrals and ensure scheduling is occurring. Assist with referrals for PT clinic. Supervise scheduling of patient appointments, ensuring appropriate allocation of resources and timely service delivery. Supervise communication/ communicate with referring physicians. Supervision of ordering for clinic Plan, develop and implement new processes and procedures for clinic efficiency Maintain the budget with direct supervisor. Monitor and evaluate clinic performance metrics, such as patient satisfaction, service utilization, no-shows etc. and implement improvements as needed.

  • Exercise Specialist Responsibilities Assess patient needs and develop individualized exercise programs in collaboration with program coordinator Ensure that patients receive appropriate care and supervision during exercise sessions, adhering to safety protocols and industry standards Monitor patient progress and adjust exercise programs as necessary to maximize outcomes Collaborate with healthcare professionals and referral sources to establish and maintain effective working relationships

  • Maintain and cultivate key Relationships Funding partners HSC Foundation and Development Office and others

  • Champion of the program/ Marketing Internal and external communications Plan and execute marketing initiatives to promote clinic services and increase patient enrollment Represent the clinic in the community and develop relationships with local organizations, healthcare providers, and potential referral sources. Send monthly reports and updates to key funding partners Periodic presentations to physicians groups and other community cancer services organizations Periodically review brochures, printed material, etc. and update as needed Website, social media presence

  • Fundraising for the program Work with direct supervisor to secure funds for program sustainability and growth

  • Strategically grow the program Student involvement currently TCOM students volunteer regularly Potential for LHS students to have coaching practice hours/ internships Social media strategy
