The Location: This position reports to the Manager, Accounts Receivable & Accounts Payable located in Carlsbad, California at our corporate headquarters. We offer a flexible work-from-home schedule, with a few days in the office per week for local candidates.

GIA also offers remote opportunities subject to management approval.

The Job Title: Supervisor, Accounts Receivable (Education)

Job Overview:

Provides technical support for the accounts receivable department activities with focused responsibility for overseeing, processing and recording education related transactions in compliance with established policies and accreditation standards. This role will also have additional generic accounts receivable responsibilities. Also provides instructions, recommendations and support to other company personnel for routine inquiries and specific areas assigned by the manager.

Responsibilities:

  • Supervises day-to-day operations including a focus on developing and overseeing the preparation and recording of education related transactions and reporting requirements for accreditation purposes.

  • Oversees the billing, collection, deposit, disbursement and record maintenance of tuition and fees and other education related funds; participate in the establishment of policies/procedures regarding the above activities.

  • Manage the collections process, including but not limited to creating and monitoring A/R aging, sending collection letters, calling delinquent accounts, preparing accounts to be escalated to senior management, updating student accounts weekly, and performing any follow-up as needed.

  • Identifies and researches accounts for write-offs as needed.

  • Responsible for processing and reviewing education refunds within the student financial system (SIS), PeopleSoft and Jenzabar in a timely manner.

  • Monitors any overpayments or credit balances refundable back to the students and performs research and review of credit balances that may need to be escheated to the state as unclaimed property.

  • Oversees the maintenance of account records relating to these transactions including reconciliations of related balances between SIS and the financial statement GL in Workday.

  • Oversees with month-end and year-end close process including analyzing and reviewing reconciliation of general ledger accounts.

  • Responds to student account-related questions regarding statements, payment options, payment deadlines, refunds, and 1098T tax forms. Interacts with students and communicates effectively, both verbally and in writing. Summarizes conversations to student file for future reference.

  • Prepares and reviews student accounts to process 1098T's at year-end and collaborates with internal departments (e.g. Tax, Admissions, Registrar, Financial Aid, etc.) to ensure all data is reported correctly accordingly.

  • Supervises the preparation and delivery of the 1098Ts in a timely manner.

  • Collaborates with internal employees for education-related responsibilities.

  • Assists department/ Manager, Accounts Receivable and Accounts Payable with month end close procedures.

  • Prepares and updates Education Accounts Receivable Standard Operating Procedure (SOP) for training purposes and to ensure team follows procedures.

  • Independently determines and develops approach to solutions and works on complex issues, requiring the ability to synthesize and analyze multiple sources of information to identify the root causes of problems and to independently solve problems requiring strong judgement and decision-making abilities. Provides a summary for a management decision when needed.

  • Uses judgement to select appropriate action from defined procedures/ guidelines;

  • Seeks help from experienced staff and/or management for troubleshooting non-routine issues.

  • Supervises and provides guidance and training to staff. Plans, assigns and reviews the work of others. Provides balanced feedback, coaches, mentors, engages, motivates and supports team on an ongoing basis; meets regularly with staff to review team productivity and identify any issues or areas for improvement, etc.

  • May participate in the hiring process, provide input for progressive discipline; deliver disciplinary actions with a manager or make recommendations for termination.

  • May participate in the performance review process and goal setting process for staff.

  • Other duties as assigned.

Technical Competencies (Knowledge, Skills & Abilities):

  • Strong knowledge base in Education Accounting to include Student Financials, Financial Aid and Accreditation reporting

  • Strong attention to detail and ability to meet deadlines.

  • Strong commitment to excellent customer service.

  • Ability to supervise, maintain and foster sensitivity and respect for a culturally diverse work environment.

  • Display supportive behavior and communicate positively regarding department goals and objectives.

  • Ability to perform and prioritize multiple tasks and meet critical deadlines while maintaining accuracy and quality.

  • Expertise among Microsoft Office applications, Tier 1 enterprise resource planning (ERP) software, and other technical applications.

  • Ability to work with minimal supervision and in a team environment.

  • Proficiency in PeopleSoft, Fourth Shift, Jenzabar, Work Day and other software or willingness to learn upon hire.

Requirements:

  • Associate's degree in Accounting or in a related field required.

  • Bachelor's degree in Accounting or in a related field preferred.

  • Five years related experience and/or training; or equivalent combination of education and experience.

  • Work experience at an education institution.

  • Supervisor experience in managing a team of 3 individuals or more

Pay Range: $68-90K
