General Functions/Professional Responsibilities:
The Substitute Coordinator is responsible for efficiently managing the substitute teacher process, including contacting and scheduling substitutes with clear directions, maintaining an accurate substitute database, and ensuring effective communication between substitute teachers and district staff. This role requires up-to-date knowledge of substitute responsibilities and performance expectations, acting as a liaison between all relevant parties.
Employment Status: Part Time (29 Hours)
Salary Range: SEC2-G - $19.68 commensurate with comparable school experience
Assigned Work Days Per Year: 185 days
Assigned Hours Per Week: 29 Hours both on-site and remote work, includes some early morning/evening hours

Educational Requirements:
Bachelor's degree in Education, Human Resources, Business Administration, or a related field is preferred.
Possess Skills and Knowledge:
Strong organizational and time management skills.
Excellent oral and written communication skills.
Proficiency in using computer software, including Microsoft Office Suite
Ability to work independently and as part of a team.
High level of accuracy and attention to detail.
Ability to handle confidential information with discretion.
Experience:
Minimum of 2-3 years of experience in a similar role, preferably within an educational setting.
Proven experience in coordinating schedules and managing communication with multiple stakeholders.
Essential Duties:
Review substitute teacher application, screen candidates, contact references and hire substitute teachers
Contact and schedule substitutes (providing directions, as needed) promptly and in a timely fashion using effective oral and written communication.
Maintain accurate, up-to-date substitute database (including certification and preferences) in our absence management software.
Maintain relevant knowledge as to the responsibilities and performance expectations of subs and be able to communicate them to substitute teachers.
Be a liaison between substitute teachers, staff, employees, and administrators.
Participate in meetings during the business day, as needed.
Monitor experience ratings and provide feedback to substitutes and administrators.
Prepare and provide reports on fill rates.
Proactively anticipate needs of the district for scheduled events requiring high numbers of substitute teachers, such as professional development events.
Support building staff in their use of the substitute database and absence management software.
Create and implement substitute teacher appreciation and recognition initiatives
Other duties as assigned by the Director of Human Resources.
PHYSICAL DEMANDS:
While performing the duties of this job, the employee is regularly required to sit, stand and use hands to handle or feel objects, tools, or controls and talk or hear. The employee frequently is required to walk, reach with hands and arms, climb, balance and stoop, kneel, crouch or crawl. The employee must be able to regularly lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance, vision, color vision, peripheral vision, depth perception, and the ability to focus. Exposure to hot and cold from equipment, high noise levels and odors from cleaning fluids must be tolerated on a daily basis.
