Job Title: Substitute Specialist Revised Date: November 2023 Department: Human Resources FLSA Status: Non-exempt Work Year: 10 Months Salary Schedule: TSS - 205 days
SUMMARY: This position is responsible for providing information for screening, hiring, and on-boarding substitute applicants. This position will organize and dispatch substitutes to fill emergency or long-term requests for substitutes, maintain substitute records, and provide training and orientation for newly hired substitutes. The position works to secure substitutes for teachers, nurses, and paraprofessionals. The position also works with student teachers to ensure they have their substitute endorsement.

Frequency % of Time 1. Coordinates substitute process (e.g. staffing long-term substitutes, emergency substitute
needs, hiring/orientation, certification verification, etc.) to comply with all district, state, and federal regulations. D 20% 2. Dispatches substitutes to provide coverage at school sites and for emergency requests for substitutes. Works with secretaries and administrators on submitting requests and maintains the substitute staffing and list of availability of the tracking software. D 25% 3. Maintains a variety of records/files such as substitute records, requests, performance documentation, budget numbers, timekeeping, personnel/payroll records for substitute
staff. These files could include a variety of confidential and non-confidential files and records (both manual and electronic). W 10% 4. Prepares various reports and written materials including but not limited to substitute payroll, reports, memos, letters, and rosters to document activities, requests, payroll, and hiring practices. Ensures all legal documentation is maintained according to District and
state/federal guidelines. W 10% 5. Conducts interviews and validates substitute certifications to process employee staffing/hiring requirements in compliance with program, district, state, and/or federal requirements. W 10% 6. Reconciles substitute payroll information by validating/calculating rate of pay, shifts worked, accounting codes are accurate, and prepares time sheets for payroll processing to
ensure accuracy and timeliness of payroll records. M 10% 7. Responds to inquiries from building administrators, payroll specialists, HR administrators to providing information and strategy for how to best fill open requests and make recommendations for process updates. D 5% 8. Schedules a wide variety of activities (e.g. appointments, meetings, etc.) to make necessary arrangements for staff and applicants. W 3% 9. Responds to written and verbal inquiries from a variety of internal and external sources to resolve problems, provide information, refer to appropriate personnel, and/or identify the

EDUCATION AND RELATED WORK EXPERIENCE:
High school diploma, or equivalent, required
