Duties and Responsibilities

  1. *Provides lead direction for the coordination of school/college programs geared towards the graduate student experience.

  2. *Serves as resource person and coordinator to faculty and master's and doctoral students by interpreting and assisting in administering academic policies, academic procedures, and academic evaluations.

  3. *Responds to inquiries and researches appropriate solutions applying policies, procedures, state, and federal laws; responsible for ensuring compliance with institutional rules, regulations and procedures.

  4. *Participates in a variety of student service support program activities, e.g., recruitment, admissions, orientation, and registrar support services.

  5. *Works with Departments to gather and communicate information requested by the UHM Graduate Division

  6. *Plans, writes, edits, and implements SOEST-wide graduate student fellowships including the processing of graduate student personnel and fiscal documents for Hau`oli Mau Loa and Denise Evans fellowship programs.

  7. *Develops and maintains database for tracking statistics of SOEST graduate students including attrition, graduation rate, post-graduation employment.

  8. *Coordinates and prepares SOEST graduate programs literature including promotional brochures, graduate student informational bulletins, and other internal and external reports.

  9. *Plans, implements, and coordinates, and events for all SOEST graduate student receptions and activities, including new graduate student orientation.

  10. *Responsible for attending Assessment Office workshops to provide better guidance and recommendations to the Departments student assessment, learning outcomes, and program data; assists programs in completing Assessment Reports.

  11. *Prepares, reviews, and processes fiscal documents related to SOEST Tutor and Maile Mentoring graduate mentor funds.

  12. *Represents SOEST at recruitment events; attends college career fairs, etc. to promote graduate degree programs.

  13. *Maintains database and listserv of alumni records and communicates with Department and SOEST-wide graduate alumni.

  14. Assists graduate programs in responding to relevant campus-wide surveys and requests for information.

  15. Works with Departments to develop and implement recruitment strategies.

  16. Works with UH Foundation to identify fundraising opportunities for SOEST graduate programs and coordinate donor events.

  17. Maintains the content of the SOEST graduate education web pages.

  18. Plans and implements Department graduate alumni SOEST events.

  19. Engages in professional development opportunities, update educational knowledge, and best-practices by attending academic affairs/student affairs conferences, seminars, and classes.

  20. Designs and implements procedures for improvements to program activities, job related workshops and internships with federal/state agencies.

  21. Supervises student helpers as appropriate.

  22. Other duties as assigned

Minimum Qualifications

1.Possession of a baccalaureate degree in Education, Business Administration or related field and 3 year(s) of progressively responsible professional experience with responsibilities for student services or related; or any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills and abilities as indicated.

2.Considerable working knowledge of principles, practices and techniques in the area of student services or related as demonstrated by the broad knowledge of the full range of pertinent standard and evolving concepts, principles and methodologies.

3.Considerable working knowledge and understanding of applicable federal and state laws, rules, regulations and theories and systems associated with student services or related.

4.Demonstrated ability to resolve wide ranging complex problems through the use of creative reasoning and logic to accurately determine the cause of the problems and the resolution of the problems in an effective, innovative and timely manner.

5.Demonstrated ability to interpret and present information and ideas clearly and accurately in writing, verbally and by preparation of reports and other materials.

6.Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team leaders and members, and individuals.

7.Demonstrated ability to operate a personal computer and apply word processing, spreadsheet and other business software, including MS Word, Excel and Power Point.

8.If applicable, for supervisory work, demonstrated ability to lead subordinates, manage work priorities and projects, and manage employee relations.

Desirable Qualifications

1.Experience in academic advising/counseling in a higher education setting.

2.Knowledge of and/or experience with UHM's academic and research programs and support services.

3.Administrative experience in Earth Science-related fields.

4.Work experience in an academic/research institution.

5.Excellent oral and written communication skills.

6.Strong organizational skills.

7.Excellent interpersonal skills.

8.Experience using student academic data systems such as STAR and Banner.

9.Experience creating and maintaining web pages using programs such as Wordpress or Dreamweaver.
