Reports To: District Office Student Services Director

Position Objective:

The District Office Student Secretary provides the systems coordination and data processing in the daily operations of the school district by supporting the work of the Student Services Department at the Dunlap School District Office, applicable staff, students, and parents.

Essential Functions:

  • Accurately processes record requests to/from schools in accordance with regulations

  • Creates and maintains master files, filing and maintain accuracy of files to meet regulations throughout the school year

  • Coordinates of special education cards system for active and inactive files

  • Communicates the check-in/check-out procedure for files and maintains confidentiality and accuracy of files

  • Obtains and distributes paperwork from SEAPCO to the appropriate school regarding Early Intervention (EI) students

  • Prepares and sends paperwork to parents regarding evaluations/re-evaluations

  • Assists the school social workers and school psychologists with paperwork and file maintenance and other duties as requested by the director

  • Answers the telephone in a professional courteous manner

  • Keeps the director informed of all important calls, visitors, messages and other events pertaining to the function of our school

  • Creates reports as specified by the director

  • Assists director with the completion of district, state and federal reports

  • Maintains and updates all student records as required

  • Processes new student and transfer students, create master file, and complete all other procedures involved in this process

  • Maintains strict confidentiality of all office, school, and personal information

  • Presents a positive image to the office and the department as a whole

  • Assists with management of student services accounts by placing orders, tracking the receipt of orders placed, and utilizing the purchase order system

  • Communicates End-of-the-Year processes to special education staff, collect and organize all teacher files

  • Assists with all duties in regard to Extended School Year and summer reports

  • Prepares teacher files for distribution in August and communicate process to staff

Qualifications:

  • High School Diploma or GED

Competencies:

  • Excellent organizational skills with strong attention to detail

  • Proficient in typing, filing, copying and other clerical functions

  • Proficient in standard office software applications, including Microsoft Word, internet usage, email usage, Microsoft Excel

  • Excellent interpersonal communication skills. Able to communicate effectively with staff at all levels, students, parents, and the general public

  • Ability to interact with children in a positive and nurturing manner

  • Ability to multi-task while maintaining a calm and professional demeanor

  • Ability to read, write and speak the English language

  • Ability to assess and anticipate clerical tasks needed

  • Understanding of school, district, and state rules and regulations regarding school operations and special education regulations

  • Mental Demands: calculating, comparing, evaluation, interpreting, organizing, consulting, analyzing, planning, documenting, specifying, coordinating, implementing, and presenting

  • Physical Demands: bending, stooping, kneeling, twisting, reaching, sitting for prolonged periods of time, standing, walking, lifting, finger dexterity, grasping, repetitive motions, talking, hearing and visual acuity

  • Environmental Conditions: The work is performed primarily indoors; however, outside work is required on occasion. Travel between buildings may be a requirement
