SUMMARY:

Provides the daily office management and operations of the Student Life office. Will also be involved in the coordination of Summer Camps and Conferences and New Student Orientation. Coordinates a variety of activities and programs for the Student Life office by performing the following duties. Other duties may be assigned as needed to best serve our student population.

  • This is a 12-month position.

  • Location: Levelland Campus

ESSENTIAL DUTIES:

Programming/Event Management:

  • Actively encourage students to participate in Student Life and other campus events.

  • Assist the Director of Student Life in the development and execution of all activities and events hosted through the Student Life office including (but not limited to):

  • Welcome Week

  • Multicultural events (Hispanic Heritage Month, Native American Heritage Month, Black History Month, AAPI Month, etc.)

  • #TexHex Halloween Carnival

  • Miss Caprock

  • Holiday Tree Lighting

  • Valentine Grams

  • Homecoming and Homecoming Dance

  • Mocktail Madness

  • Open Mic Nights

  • Popcorn Fridays

  • Collaborate with the Marketing office to create marketing materials for Student Life programs.

  • Create content and co-manage the social media presence for Student Life.

  • Communicate with third-party vendors, as needed, for Student Life programs.

Supervision:

  • Selects, trains, supervises, and evaluates work-study employees.

  • Holds regular one-on-one meetings with work-study employees.

  • Fosters a developmental atmosphere for staff and facilitates life skill development opportunities.

Administration

  • Assist the Director of Student Life in compiling and generating various reports

  • Attends weekly 1:1 meeting with the Director of Student Life.

  • Participates in weekly Student Life meetings.

  • Available to students, coworkers, faculty, and staff outside of office hours as necessary.

  • Maintains professionalism through appropriate business attire, communication, and actions.

Office Management:

  • Manage the Student ID station

  • Make Student IDs

  • Coordinate regular maintenance of Student ID printer

  • Order Student ID supplies as needed

  • Retrieve and sort incoming mail.

  • Organize and maintain digital file system in Microsoft Sharepoint.

  • Greet all visitors, screen as needed, and direct to appropriate area or person.

  • Order and maintain inventory of office supplies.

  • Conducts health and safety checks as needed on a case-by-case basis.

  • Reports maintenance needs and safety and security issues to the Maintenance Department and/or other appropriate offices/third-party vendors.

Summer Operations:

  • Supports the New Student Orientation team by creating a welcoming and inviting environment.

  • Collaborates with summer camps and conferences, serving as a primary point of contact with stakeholders who wish to use the game room.

  • Works with Upward Bound and serves as a point of contact.

  • Assist with summer walk-In tours.

  • Provides additional assistance for the Dean of Students' office during peak times.

Language Skills:

  • Ability to read and comprehend instructions, correspondence, and memos. Ability to write correspondence and instructions. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

Mathematical Skills:

  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

Reasoning Ability:

  • Ability to apply common sense understanding to carry out detailed written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.

Technological Ability:

  • Ability to utilize or learn computer equipment and programming including, but not limited to: Microsoft - word, excel, PowerPoint, outlook. Must also be willing to learn and utilize current social media tools. Required to check staff email daily.

  • While performing the duties of this job, the employee is regularly required to talk or hear. The employee is often required to use hands to finger, handle, or feel and reach with hands and arms. The employee must occasionally lift and/or move up to 10 pounds. The employee must be able to repeatedly walk up and down stairs and across campus in 10 minutes. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.

EDUCATIONAL QUALIFICATIONS:

Required Qualifications:

  • Associate's degree (A. A.) or equivalent from two-year college or technical school; or five year related experience and/or training; or equivalent combination of education and experience.

  • Proficiency with Windows and Microsoft Office are required.

Preferred Qualifications:

  • Bachelor's Degree
