Job Description

Student Employment is critical to providing oversight and support for student employees and their supervisors across the university. The job expectations of the role include establishing and assisting with processes and procedures for student employees and employers in areas including training, professional development, annual appraisals, recognition, and classification and compensation. This position is responsible for group training, workshops, and job fairs to support both students and student employee supervisors at NAU. This position works closely in collaboration with Human Resources, Office of Scholarship and Financial Aid, and other campus-wide student employee stakeholders to ensure equitable hiring and quality experiences for all NAU student employees.

Student Employment Learning & Development

Professional Development (Work+)

  • Create and facilitate training that helps students identify the career readiness competencies, functional, and transferable skills gained through student employment, clubs/orgs, internships, and additional experiential and co-curricular opportunities and support in their articulation of these skills in relation to their overall career readiness.

  • Collaborate with Career Programming team to liaison with specific campus partners such as clubs/orgs and student employers.

  • Provide training for NAU student employee supervisors on best practices and targeted topics related to onboarding, training, ongoing supervision, student employee lifecycle support, development, and career readiness.

  • Advise and consult with supervisors to provide guidelines, tools, and templates to ensure student employees have a consistent, compliant employment experience that prepares them for life after graduation.

  • Ensure processes and procedures align to the university strategic priorities.

  • Collaboratively manage Career Closet, including organization of clothes and spaces, coordinating clothing drives, marketing and communication about resource, and partnering across campus.

Recognition

  • Collaboratively manage recognition of student employees and their supervisors with annual (Spring) awards, Student Employee of the Year, Student Employee Supervisor of the Year, and Student Employee Team of the Year.

  • Manage award nomination process, committee selection, marketing and communication, selection of award winners through matrixing, procurement of awards, and celebration ceremony/delivery of awards to winners.

Team Management & Supervision

  • 20%
  • Directly supervise Career Development student staff (Career Jacks) including recruitment, selection, training, onboarding, development, supervision, and evaluation of all team members.

  • Lead weekly team meetings with planned agendas and developmental focus.

  • Meet with each Career Jack on a regular basis to assess needs and provide ongoing supervision.

  • Create, develop, and maintain standard operating procedures and processes to address continued changes occurring within Career Development and directly impacting work and job responsibilities of CJs.

  • Manage appropriate training to address changes in process and needs of the department.

Administer Student Employment Classification Program

  • 15%

Classification & Compensation

  • Manage communications through Student Employment email inbox as first level of support with Human Resources (HR) partners, student employee supervisors, and additional stakeholders throughout classification process.

  • Refer supervisors to appropriate partners/steps in the classification and onboarding process.

  • Act as one of three reviewers in centralized classification of all NAU student employee positions.

  • Utilize matrix of category descriptions and respective wage levels to ensure consistent and equitable classification and compensation of all student employees.

  • Act as student wage and classification expert when advocating for continued increases in lowest paid wages and overall impacts to compensation scale for student employees in collaboration with university leadership.

  • Demonstrate a commitment to Inclusive Excellence and NAU's Affirmative Action Plan by ensuring all NAU student employment opportunities are accessible to all students through Handshake.

Business Process Management

Handshake

  • Support NAU departments with the implementation and management of their Handshake employer/company profiles.

  • Liaise and work with Handshake representatives to continuously improve functionality/usability and to troubleshoot user issues with NAU employers.

  • In partnership with Information Technology Services (ITS), identify ways to utilize Handshake to automate/improve Student Employment business processes.

  • Monitor NAU departmental job postings without an HR representative and decline with appropriate process updates to poster.

OnBase

  • Manage annual performance appraisal process.

  • Educate supervisors on annual performance appraisal process with resources and support.

  • Partner with ITS on technical requirements, specifications, and needs for student and supervisors.

  • Manage classification and compensation database.

  • Facilitate projects to improve the classification and compensation database, ensuring accuracy and streamlined processes.

Data

  • Assist with collecting and analyzing data (qualitative and quantitative) to assess the effectiveness and impact of Career Development/Student Employment programming.

  • May participate in annual Showcase of Strategies for Student Success, representing departmental programs.

  • Achieve goals established by Career Development and Student Affairs.

  • Report on progress and recommend changes to program based on assessment results.

Team Contributions

  • 10%
  • Support Community/Employer Relations in the development and implementation of large-scale student employment programs and events to include semesterly Part Time Job and Internship Fairs and Career and Graduate School Fairs.

  • Manage specific projects throughout the project lifecycle from conceptualization through development, implementation, and assessment.

  • Support Student Employment related marketing and communication via website content, social media, and marketing materials.

  • Maintain current knowledge of student employment, Handshake, college student development, career development, employment and recruiting trends, and other related topics as appropriate.

  • Provide expertise to students on a variety of career exploration tools and related resources.

University Partners

  • 5%
  • Manage Student Employment email inbox communication and maintenance.

  • Collaborate with Human Resources to implement and evaluate Student Employment processes, practices, tools, and templates.

  • In partnership with OSFA, promote the benefits of hiring Federal Work Study (FWS) employees, and provide opportunities for FWS-eligible students and departments to connect.

  • Refer supervisors and student employees to HR conflict resolution partners appropriately.

  • Serve as a liaison to on-campus employers of student employees. Develop and nurture relationships within the programs and departments, building deep, functional knowledge of the career development needs of that program/department's student employee population and supervisor needs.

Other

  • Serve on university, division, and/or department committees, as appropriate and aligned with needs of department and goals of staff member.

  • May represent NAU Career Development at NAU, regional, and national conferences, networking events, and other professional development events.

Position requires some minimal travel of 2 to 8 days per semester and working weekends and evenings 4 to 8 days per semester.

Minimum Qualifications

  • Undergraduate bachelor's degree.
  • 3-5 years of relevant experience.
  • A combination of related education, experience, and training may be used as an equivalent to the above minimum requirements.

Preferred Qualifications

  • Master's degree in related field of Students Affairs, Business, Organizational Leadership, Human Resources, Education, or other related field.

  • 2+ years' experience working in a university, high school, non-profit or industry.

  • 2+ years' experience teaching or facilitating workshops in a higher education, non-profit, or corporate environment.

  • 1+ years program development and implementation in a higher education, non-profit, or corporate environment.

  • Experience with leadership and development training.

  • Experience developing and nurturing stakeholder relationships across a large, diverse organization.

Background Information

This position has been identified as a safety/security sensitive position. Therefore, per AZ Revised Statute, Northern Arizona University requires satisfactory results for the following: a criminal background investigation, employment history investigation, degree verification (in some cases) and fingerprinting. In addition, the Fire Safety Report is combined with the Annual Security Report for the NAU Flagstaff Mountain Campus as this campus has on-campus student housing. This report discloses fire safety policies and procedures related to on-campus student housing and statistics for fires that occurred in those facilities. Salary

Salary range begins at $49,761. Annual salary commensurate with candidate's qualifications and related experience.

FLSA Status

This position is exempt from the overtime provisions of the Fair Labor Standards Act (FLSA) and therefore will not earn overtime or compensatory time for additional time worked.

Benefits

This is a Classified Staff (CLS) position. NAU offers an excellent benefit package including generous health, dental and vision insurance; participation in the Arizona State Retirement System; paid vacation and 10 holidays per year; and tuition reduction for employees and qualified dependents. More information on benefits at NAU is available on the Human Resources benefits website. Classified Staff employees are in a probationary status for their first six months at NAU. NAU is a tobacco and smoke-free campus. Employees offered a position will be eligible for state health plans (including NAU's BCBS Plan). New employees are eligible for benefits on the first day of the pay period following their enrollment, after their employment date. Employees will have 31 days from their start date to enroll in benefits. Additionally, new employees will begin participating in the Arizona State Retirement System, and the long-term disability coverage that accompanies it, on the first of the pay period following 6 months after the new employee's start date.
