Student Aid & Scholarships Customer Service Specialist helps advance the equity-centered mission of Clover Park Technical College by engaging as part of a cohesive team and supporting students in the daily operations of the Student Aid & Scholarships office. The Specialist will help to create a welcoming environment by providing exceptional and culturally sustaining service through extensive interaction with students, faculty, staff, and community constituents in a variety of ways (e.g. in person, email, Zoom, Chat, telephone). This position provides general college information regarding admissions, registration, advising, placement, new student processes, support services, programs, and other college functions. The Customer Service Specialist assesses the students' individual needs in real time and assists them in making the appropriate connections to Clover Park Technical College programs, services, and resources.

Tasks include:

  • Provide information, recommendations, and referrals via multiple modalities (e.g. in person,

  • phone, online, Zoom, Chat, email) regarding the various programs and services available at

  • CPTC in order to meet the unique needs of diverse students, staff, faculty, and community

  • members.

  • Interpret and explain a variety of college regulations, policies, and procedures, in response

  • to student's individual needs in a positive, culturally sustaining, and supportive manner.

  • Review informational documents, such as financial aid verification forms, assessments,

  • reports, citizenship forms, and transcripts and independently make decisions about how

  • best to serve students and advance access, particularly for systemically non-dominant

  • students.

  •  Independently and equitably resolve problems by identifying the issues, determining

  • procedural steps, working with team members and college employees, and communicating

  • results and next steps to students.

  •  Maintain confidentiality according to college policy, FERPA, federal/state, and other

  • guidelines.

  • Schedule student appointments as necessary.

  • Use multiple database and software platforms for data entry, extracting reports, and clerical

  • support.

  • Use spreadsheets, database, and word processing software to create and compile reports,

  • and process documents and records.

  • Prepare and assist with mailing, sorting, and filing of various documents.

Duty:  Assist in department engagement and retention efforts, and other activities.

Tasks Include:

  •  Participate and assist in the development and implementation of engagement and retention

  • efforts.

  • Participate and assist in the development and implementation of departmental and

  • divisional goals.

  •  Provide operational support to Student Success functional areas, such as, advising,

  • placement, counseling, Access and Disability Services (ADS), Workforce Education, etc.

Duty: Office Management

Tasks include:

  • As a part of the Student Success team and Student Aid & Scholarships team, maintain a

  • welcoming, inclusive, and service-oriented office and waiting area.

  • May train and lead the daily work of work-study students.

  • Ensure office equipment such as copier, fax, document imagining, and Kiosks are

  • operational and report technical problems to the appropriate department.

Duty: Professional Development and college support

Tasks include:

  • Actively participate in financial aid, Student Success team & pillar meetings and college

  • committees as needed and appropriate.

  • Maintain knowledge of federal and state funding rules and requirements.

  • Provide evening hours coverage as necessary

  • Other duties as assigned.

Duty: Satisfactory Academic Progress

Tasks include:May include but are not limited to

  • Review, determine, and data enter SAP statuses on the student aid management system.

  • Cancel or adjust aid as necessary on all appropriate systems.

  • Place and remove holds.

  • High School Diploma

  • Minimum of two years of experience in a customer service role in an office setting.

  • Minimum of two years of experience using Microsoft Office Suite including Word, Excel, and Outlook.

  • Minimum of two years of experience with data entry.

  • Ability to work under pressure and handle high volume services.

  • Cannot be in loan default (upon hire employee will be required to apply and gain approval to access the National Student Loan Database System for the US Department of Education).

  • Associate's degree.

  • Experience working in a college office environment preferably in Student Services.

  • Experience with Washington State Community and Technical College Financial Aid Management System or CTC link.

  • Experience in a student-related or student services capacity in an educational setting.

  • One year experience in student financial aid.

  • Fluency in a regionally spoken language (ability to read, write, speak). Spanish preferred, Vietnamese, Korean, Chinese, and Russian.

Our college has a rich history of professional and technical education dating back to the 1940s, when Clover Park School District established a War Production program, training civilians as auto mechanics, aircraft-service mechanics, ship-fitters, welders and blueprint readers. Now, CPTC offers more than forty programs in Aerospace, Advanced Manufacturing, Health Sciences, Human Services, Business, Hospitality, Science Technology, Engineering, Transportation and Trades.
