Summary

The Residential College is a four-year liberal arts program located in the East Quad University Residence Hall. Since 1967, the Residential College (RC) has offered undergraduate students a unique living-learning experience in which they benefit from being members of a small college community with full access to the offerings and resources of a world-class research university. This pairing of living and learning creates a dynamic community of undergraduates which has singular and diverse needs that condition, in turn, the composition of the RC staff and its work plans. The distinctive educational mission of the RC is to enable students to develop their intellectual interests and creative talents in an environment in which they can find their own voice and relate learning with doing. The RC faculty and staff challenge students to take the initiative in shaping their own education, to participate actively in classes and in extra-curricular programs, to think critically about what they are learning and reflectively about what they are doing, and to engage with the University community as well as the outside world.

The Residential College Office of Academic Services is the nexus of interaction between the living and the learning. The team fosters a connection between the students and the faculty while guiding and advising students on their steps through UM and beyond. The Student Services Assistant Intermediate is the main contact for much of the day-to-day operational and administrative support within the RC Academic Services office. This position requires an understanding of broad curricular issues for undergraduates and an ability to effectively communicate with individuals and groups. This is currently a term-limited appointment at 20 hours/week during the fall term (August to December), and potentially 30 hours/week during the winter term (January to May). Review of the appointment will be conducted at the end of July 2025 with hopes of renewal.

Responsibilities*

Under the supervision of the Director of Academic Services, the Student Services Assistant Intermediate will assist in conducting the administrative efforts of academic services in the Residential College. Summary of major duties include:

  • Act as the first point-of-contact in the Academic Services Office, welcoming students, faculty, and staff and answering phone calls to the office. Provide in-person assistance to students, faculty and staff in the Academic Services Office, such as guiding them to classrooms/locations in the building and on-campus, connecting individuals with appropriate offices and resources as needed. Provide drop-in advising services as needed.

  • Assisting with scheduling academic advising appointments, and scheduling RC EQ classroom room reservations.

  • Develop and maintain FERPA-protected academic student records. Process and maintain major/minor declarations, releases, transfer credit, permissions and exceptions for all Residential College students.

  • Coordinate follow-up communication with Residential College students regarding academic advising, academic probation in collaboration with the RC Board on Academic Standing, transferring out of the RC, and other topics as needed.

  • Work with the Academic Services and Student Services teams on coordinating communication methods, such as newsletters, to provide RC students with updates and opportunities from the RC administrative offices.

  • Implement logistical support for events organized by the RC Academic Services Office and the RC Student Affairs Coordinator.

  • Collaborate with the Academic Services team on planning and implementation of RC Summer Orientation process, from initial planning through program completion.

  • Collaborate closely with all Academic Advising and Students Services staff, Faculty Advisors, and the larger RC community to support and carry out other duties as assigned

  • During the winter term, collaborate with the Director of Admissions, Recruitment and MLC Administration on upkeep of admissions data during peak recruitment and admissions times. Work with other RC programs on projects as need and time allows.

Required Qualifications*

An Associates degree or equivalent, with at least 1-2 years of progressive work experience in an academic services setting is preferred. The successful candidate must be a self-starter; have excellent organizational skills; be able to set priorities; handle multiple assignments; learn progressively; and work independently with minimal supervision. A high degree of attention to detail and accuracy is mandatory along with the ability to demonstrate a high level of critical thinking, problem solving, and decision-making. Excellent interpersonal, written, and oral communication skills are required. The successful candidate will have the ability to work effectively and sensitively with a diverse group of students, faculty and staff and to handle sensitive and confidential materials and situations. We are looking for someone who shows initiative; the desire to identify opportunities for changes to processes, procedures and duties; and a willingness to contribute in a team setting. High proficiency with information technology applications including Google Suites, Microsoft Office and other third-party production software is required.

Desired Qualifications*

  • A bachelors degree or equivalent with 2-4 years of experience in Academic Services or similar areas of administration is desirable.

  • Reasonable knowledge of student counseling and guidance practices is desired.

  • Experience working in a higher education setting and a demonstrated understanding of the value of a liberal arts education and interest in student development and college academic affairs is desired.

  • Other desired qualifications include a strong knowledge of UM LSA policies and procedures, and a strong knowledge-base of MPathways and UM systems.

Work Schedule

This position is at least 50% (20 hours per week) throughout the year and is benefit-eligible. Opportunity for an added 25% effort (10 hours per week) from January to May. Flexibility is required in order to be present on campus as needed to complete job responsibilities.

Due to only being a 50% / 75% appointment and servicing the administrative needs of the program, this position is intended to be entirely on campus and not remote. Flexibility to work remotely on occasion will be reviewed during the term of the appointment.
