Summary:

Under the general supervision of the Assistant Bursar, the Student Accounts Representative supports the Student Accounts department in all student finance and cashiering needs. The work of this position is managed by the Assistant Bursar for Student Accounts.

Job Description:

Essential duties and responsibilities

  • Responsible for calls/emailing/resolving past due A/R balances and N/C balances, assist in reviewing monthly installment plan payments in default as part of the in-house collections process.

  • Responsible for monitoring and transition of delinquent accounts to be placed with 3rd party collection agencies. Maintains Collections email inbox.

  • Responsible for Student Refund process by approving, reviewing and preparing refund lists and settlement runs, including book stipends, in Workday.

  • Receives, makes and returns customer service calls to parents and students in regard to payments and researching accounts and collections. Must be comfortable with outbound and inbound calls.

  • Collaborate, monitor and address email inquiries from main inbox and Jira ticket requests.

  • Assists with 3rd Party payers by maintaining and reviewing Sponsor contracts in Workday and issuing invoices per term; secondary contact person for 3rd party sponsors, verifying payments received and updating accounts in WD as needed.

  • Processes corporate reimbursement invoices for financial aid officers each term.

  • Produces statements and letters for new incoming students.

  • Serve as backup cashier during peak periods or in the absence of primary cashier staff.

  • Assists in reviewing charge, balance, refund and special ad hoc reports from WD.

  • Assists in entering account charge entries, collections process, and withdrawal process.

  • Assists with resolving denied transcripts, enrollment verifications and diplomas requests.

  • Participate in cross training for other duties as directed by the Assistant Bursar.

  • Collaborate with other departments, such Financial Aid, Academic Advising, Registrar, Housing to ensure cohesive support for students.

  • Represent the Office of Student Accounts/Finance at student and University events.

  • Other responsibilities as assigned.

Required knowledge, skills, and abilities

  • Ability to prioritize work, attention to detail, multitask in an office environment; able to efficiently follow-up when needed to assure smooth daily functioning of all areas of administrative support.

  • Utilize sound professional judgement.

  • Numbers oriented.

  • Demonstrated success meeting deadlines in a fast-paced environment.

  • Individual must be able to handle sensitive, confidential information in a mature, professional manner.

  • Workday knowledge highly desired. Jenzabar, PowerFaids, ImageNow, Excel, Word and Outlook proficiency.

  • Occasional evening or weekend work required during peak periods.

Minimum qualifications

  • Minimum: Associate's degree.

  • Minimum: 1-2 years of related experience.

  • Preferred: Experience in higher education or a large not-for-profit organization.
