Job Description:

  • This position is eligible for up to one day remote work per week.

BASIC FUNCTION:

The Student Accounts Office is an integral part of the Business Office and plays a central role in students' experiences at Salve. Consequently, this position requires the incumbent to provide an excellent level of customer service to students, families, other offices and outside vendors. Priority will be on billing process including answering phones, responding to e-mails and greeting/meeting with students and families. Counsel students and parents in areas of billing such as understanding payment options and the elements of the student bill. Also provide support to students and family concerning online processes. Assist in special projects and orientations as determined by the Bursar. Provide administrative support to the Bursar and other Business Office staff as required. Work collaboratively with all campus departments including but not limited to Financial Aid, Registrar and IT.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Daily:

  • Answer and screen incoming telephone calls and visitors in a professional manner using excellent customer service.

  • Maintain the Business Office e-mail account responding to inquiries in a timely manner.

  • Address Business Office voicemails in a timely manner.

  • Provide parents and students with general Business Office information and refer complex requests to appropriate staff members.

  • Assist with processing deposits for Tuition, Business Office and Development.

  • Post morning duties OPC payments.

  • Run end of day reports.

Weekly:

  • Process paper refund checks and assist Accounting Generalist with EFTs.

  • Reconcile Salve Card.

Monthly:

  • Organize office workflow and initiate follow-up action. Update all forms as requested.

  • Prepare and organize files of information pertinent to Business Office. Also assist with filing and record retention.

  • Originate and maintain Nelnet past-due payment plans.

  • Post Circle of Scholar payments at 1st of each month and process Dewar waivers every Monday

  • Special projects for the Bursar and Controller regarding Billing

  • Placing all collections and processing disputes.

  • Process withdrawal and LOA/Dewar insurance claims.

OTHER DUTIES AND RESPONSIBILITIES:

  • Supports the Business Office in events, including occasional evening and weekend events, such as but not limited to receptions, orientation, move-in and commencement.

  • Support collection efforts which may occur outside standard hours of operation.

  • Perform other related duties as required.

LICENSES, TOOLS, AND EQUIPMENT:

ENVIRONMENTAL CONDITIONS:

The incumbent is not substantially exposed to adverse environmental conditions.

Requirements:

REQUIRED QUALIFICATIONS:

  • A high school diploma or GED and 1-3 years of previous customer service experience required.

  • Must possess strong interpersonal and telephone skills with a positive work attitude.

  • Must possess the ability to handle a busy office environment and work independently as well as part of an office team. Confidentiality is of the utmost importance.

PREFERRED QUALIFICATIONS:

  • Bachelor's degree preferred.

  • 3 - 5 years of customer service experience.

  • 1 - 3 years of experience in a higher education setting.

  • 1 - 3 years of experience working in a business office setting.

  • 1 - 3 years of experience with various forms of cash handling and account reconciliations.

  • Proficiency with Microsoft applications, including Excel, Word and Teams.

  • Proficiency with Colleague (Ellucian) or similar enterprise systems.
