The Student Account Representative and Passport Agent (SARPA) provides customer service to students and non?students of all ages and interests with varied payment resources. The SARPA is the student accounts expert with an understanding of tuition and fee balances as well as payment(s) via scholarship, awards, loans, and payment plans in addition to traditional payment methods of credit card, check, and cash.

The SARPA assists patrons with completing and submitting passport requests to the U.S.

Department of State. Work is performed under the general supervision of the Manager, Business Office.1. Provides customer service -

a. Answers questions from students and the public regarding college fees, payments, and general college activities or processes.

b. Maintains detailed knowledge of all payment methods including Scholarship, Awards, Loans, and Payment Plans to determine the correct Student Account Balance and accept payment.

c. Processes payments via credit card, check, and/or cash.

d. Professional conduct while working with the students in person and via telephone.

2.Manages cash and/or payment(s) -

a. Accurate handling of Credit Card, Checks, and Cash.

b. Accurate completion of Cashier Shift Reporting.

c. Accurate Data Entry into detailed computer system (Banner).

d. Petty Cash transactions and reconciliation.

3.Performs various clerical office tasks as needed.

4.Assists Accounts Payable, Accounts Receivable, and Payroll.

5.Accepts passport applications and maintains U.S. Passport Agent certification.

6.Reviews ERP report Accounts Needing Applicable of Payment (TGRAPPL) and adjust student accounts as needed to correct the application of payments.

7.Manages void for non-payment process. Works in collaboration with other departments and Business Office staff as needed to research and assist students with financial obligations and aid opportunities. Disseminates reminder notices to students through the use of mass notifications via email and phone messages.

8.Assists in all College recruitment and retention efforts as appropriate.

9.Required to attend Graduation/Commencement ceremonies.

  • Knowledge of the College and Business Office policies and procedures.

  • Knowledge of cash management.

  • Knowledge of office practices and procedures.

  • Knowledge of word?processing and spreadsheet software such as Word and Excel.

  • Knowledge of Passport Regulations.

  • Ability to operate a cash register and credit card terminal.

  • Ability to make mathematics calculations and tabulations accurately.

  • Ability to establish and maintain effective working relationships with internal and external stakeholders.

  • Ability to complete a variety of tasks simultaneously under time constraints and stressful situations.

Education and Qualifications:

  • Graduation from an accredited two-year college or university with an Associate's Degree in a related field required. Bachelor's degree preferred.

  • Three (3) years experience in customer service, bookkeeping, or strong clerical/cashier experience preferred.

(A comparable amount of training, education, or experience can be substituted for the minimum qualifications.)

Licenses, Certifications, or Registrations:

  • None required.

Physical Skills:

  • Ability to sit at a desk and view a computer screen for extended periods of time.

Environmental Conditions:

  • Works inside an office environment.
