Inova Fairfax Hospital is looking for a

Stroke Program Management Coordinator

Inova Stroke Program Management Coordinator will be responsible for ensuring adherence to all necessary requirements related to Primary Stroke Center Certification. This individual will also support the Cerebrovascular Program Lead in development and maintenance of Comprehensive Stroke Center certification requirements as needed.

This is a full time; Monday-Friday position

  • Utilizes standards, guidelines and pathways for care delivery

  • Incorporates data and information to continuously improve care and practice to enhance outcomes

  • Provides direction and guidance to others regarding practice, serves as a resource, and mentor

  • Participating in community service efforts as it relates to current and future guidelines and standards

  • Performs extensive medical record reviews and concurrent chart data abstraction on all regulatory required clinical indicators for assigned patient group, in addition to selecting and collecting appropriate data from patient charts relevant to the Core Measures Set

  • Monitors the appropriateness of patient care based on evidence-based outcomes and clinical guidelines

  • Maintains confidential communication with Physicians and those clinical disciplines directly involved in the care of the patient, and aligns core measure requirements as necessary

  • Trains and educates others in the area of Core Measurement Requirements, as it pertains to Quality Improvement and Assurance

  • Maintains Core Measurement knowledge through self-development and keeps current on all changes related to Core Measure requirements.

Requirements

Requirements:

Minimum:
2-3 years of acute care experience to include 1 year of quality performance improvement experience

Bachelors Degree in Nursing

Must have 16 hours in specialized stroke care

Current Virginia License

Microsoft Programs, Familiar with Databases;Knowledge of Core Measures sets and components used in Quality Improvement Reviews.

Preferred:

A minimum of five years clinical experience in acute care setting to include 3 years of quality performance improvement experience

Masters in Nursing
40 hours of continuing education annually

Proficient in computer software; Ability to train others on core measure requirements.

The ideal candidate will provide administrative duties in support of the planning and delivery of leadership development programs. Responsibilities will include, but are not limited to: Reservations and Logistics * Schedule internal/external venues, catering and transportation for executive development programs. * Cultivate and maintain contacts for internal meeting space and external vendors (e.g., hotels, restaurants, transportation companies, etc.). * Create and maintain multiple program rosters and schedules and reflect changes in a timely manner. Materials and Supplies * Order and maintain team and program materials (e.g., binders, badges, tent cards, books) and any additional needs in a timely manner, considering cost and efficiency. * Organize and maintain roster of preferred vendors and contact information. Budget, Tracking Expenses * Know, and accurately use, various budget codes and categories (project #s, allowable vs. unallowable, etc.), anticipated vs. realized expenditures (those made with Meeting card as well as by PO) to inform participant chargebacks Program Delivery Support * Prepare session materials as needed, print name tents, prepare name badges, and coordinate print jobs. * Organize and compile participant and sponsor materials. * Distribute materials and arrange meeting space prior to first participant entering the room (set-up completed a day in advance), ensuring alignment with Program Leaders' needs regarding placement, items needed, etc. * Ensure professionalism in language, behavior and attire are reflected at all times. * Anticipate and manage on-site program and participant delivery needs in a timely manner (e.g., meal and catering coordination, lactation room, breakout rooms, printing, internet access, etc.) * Anticipate and ensure program sponsors and speakers have their needs met to deliver their portions of the sessions professionally (e.g., water, working personal mics with back-ups, any specifics they request, etc.). * Take notes of follow-up actions when in the classroom and in meetings then publish them to ensure follow up occurs. * Be present at all cohort events to ensure they run smoothly. General Administration * Maintain calendar of department director, including scheduling meetings, accepting meeting notices, managing calendar conflicts, etc. * Book efficient and affordable travel and complete timely expense reports for department director (CONCUR) in accordance with company policy, procedures, and processes. * Create course certificates accurately and thoroughly. The ideal candidate will have the following characteristics: * Leadership and values: Model them at all times * Advanced Proficiency in Microsoft Office (Outlook, Excel, PowerPoint, Word), Publisher, Adobe Pro, and Mail Merge. * Sound judgment, sensitivity and discretion regarding the use of confidential information and in all areas of decision-making, including use of company-issued credit cards. * Accessibility: Must be counted on to be consistently accessible, available and responsive, checking and responding to emails, ensuring requests are acknowledged and executed in a timely manner. * Collaboration: Collaborate with everyone on the team and provide additional support to other areas as needed. * Timeliness and Responsiveness: Sensitivity to urgent matters and communication are essential to things running smoothly and ensuring a positive brand for the department. * Planning, Organization and Time Management: Respond to requests in a timely fashion and proactively provide status updates. * Attention to Detail: Absolutely critical in coordination with internal and external stakeholders and work product (e.g., grammar, calendar management, document proofing Basic Qualifications: * High school diploma plus 6 years of relevant administrative experience or associate's degree with a minimum of 4 years of relevant administrative experience. * Advanced Proficiency in Microsoft Office (PowerPoint, Excel, Word), Publisher, Adobe Pro, and Mail Merge. * Must be able to travel 25% of the time, both locally and by plane.
