RESPONSIBILITIES:

Under the general supervision of the Maintenance Department Manager - Facilities and Work Leader, this role performs various duties in the Maintenance Storeroom

  • Match incoming supplies against Process Orders

  • Receive and ship parts/supplies

  • Monitor inventory needs using Maximo

  • Enter new items in Maximo

  • Develop the inventory replenishment report for purchasing in Maximo

  • Take cycle counts for inventory purposes

  • Use mechanical aptitude to identify parts accurately by sight and from verbal identification using standard mechanical nomenclature

  • Provide excellent customer service to production and maintenance resources

  • Other projects will be assigned including visual factory cycle counts, knowledge of storeroom indicators; measuring parts usage by team

  • Implement 5-S in storeroom areas

  • Manage storeroom KPI's (parts availability, spend, savings, etc.)

  • Support PM Pillar

  • Manage Pro Cards

  • Purchase order management utilizing Ariba

  • Manage vendor relationships

  • Identify cost saving opportunities

REQUIRED QUALIFICATIONS:

  • High School diploma or equivalent

  • 2 years administrative/clerical experience in an office, business or related area

  • Proficiency in Microsoft Word, PowerPoint, Excel, Maximo, SAP, and Ariba

  • Proven ability to prepare spreadsheets, charts and graphs and create presentations

  • Certified PIT operator

  • Aptitude for learning new job-specific computer systems

  • Excellent communication skills, both written and verbal

  • Ability to multi-task and prioritize competing work demands, plan and organize work to meet scheduled deadlines

  • Well-developed organizational skills, including paper and electronic filing systems

  • Strong customer focus

  • Excellent attention to detail

PREFERRED QUALIFICATIONS:

  • College coursework

  • Leadership experience

  • TPM experience

REPORTS TO: Director of Finance ESSENTIAL JOB FUNCTIONS: 1.Verify that purchasing procedures are followed, i.e.: purchase order price compared to invoice price, purchase order quantity compared to invoice quantity, ensure that the purchase order number is valid. Maintain an accurate, up to date Purchase Order Log. 2.Route invoices with purchase order attached to department heads and Executive Committee members for approval. Ensure account coding is accurate and all invoices are being returned on a timely basis. 3.Process all approved invoices for payment -- ensure all appropriate signatures and back-up attached. 4.Pay all hotel invoices in a timely manner- ensuring accuracy of amount paid, account coding, invoice extension and that all discounts are taken. 5.Handle all vendor inquiries and reconcile vendor statements. 6.Maintain open invoices file, paid invoices file and voided check file in an organized and up-to-date manner. 7.Interface checks and submit a log of all manual checks to the Controller. 8.Comply with attendance rules and be available to work on a regular basis. 9.Perform any other job related duties as assigned.
