Basic Function / Nature and Scope

The Stockroom / Shipping & Receiving Coordinator is responsible for managing the daily operations of the centralized stockroom and performing inventory control of lab supplies, chemicals, compressed cylinder gases, and controlled products. The person in this role is detail-oriented and is responsible for tracking and entering receipts, maintaining inventory records, and transferring information into the company accounting system with a high degree of accuracy.

The individual is responsible for receipt of incoming shipments and assistance in preparing items for outbound shipment. The individual must collaborate with a wide range of staff and demonstrate a great customer service attitude. This role works with limited supervision.

This position reports to the Manager, Purchasing & Materials Management.

Essential Functions



Stockroom Functions: Monitors all stockroom activity and ensures inventory stock levels are maintained at appropriate levels in a clean and organized environment.

Prepares and submits requisitions for stockroom inventory items to Buyers utilizing approved vendors with established pricing agreements. Accurately enters daily transactions into the Accounting System and provides reports to Accounting Staff as necessary. Works with vendors as well as Purchasing Staff to ensure correct, timely receipt of shipments.

Works with the Buyers to prepare Request for Quotes for stockroom items and works with approved vendors to ensure the best value of stockroom products. Receives and verifies shipments of goods to the stockroom. Unpacks, labels, stocks, and dispenses items to MRIGlobal staff members.

Works with Technical Staff to determine appropriate stock levels based on project demands and resolves any identified quality problems. Coordinates with Purchasing Staff and Vendors to establish economic order quantities. Keeps abreast of market supply issues that could impact product availability and lead times and adjust stock levels as needed to support MRIGlobal requirements.

Monitors inventory for unforeseen stock level changes and determines root cause. Safeguards stockroom storage areas; observes safety rules and regulations regarding handling compressed gases and hazardous chemicals. Assists with the annual stockroom physical inventory. Ensures accuracy of inventory by conducting cycle counts periodically during the year.



Shipping & Receiving Functions: Receives incoming shipments, checks for accuracy, and enters data into the Costpoint Accounting system.

Follows up on discrepancies. Prints daily receiving reports assigned for staff receipt and signatures. Uses the Costpoint system to access various screens, including Receiving Reports, QC Rejections/Returns, Reports, and PO browse.

Enters information from vendor invoices, Purchasing, and Accounting email requests, and then prints receiving reports for those items. Compares Federal Express, UPS, and U. S. Postal rates to aid staff in determining the most economical shipping method and performs follow-up for staff requests for pricing estimates on special shipments.

As requested, advises and assists staff in the preparation of shipping forms and labels. When necessary, call the truck line to coordinate the actual shipment of large items. Assists in preparing items for outbound shipment and prints proof of deliveries using the FedEx ship manager system.

Maintains adequate shipping supplies to support outbound shipments. Follows safety procedures regarding hazardous chemicals and gas cylinder storage. Loads and unloads delivery vehicles using pallet jacks, and hand trucks.



Compliance: As an IATA certified employee, ships hazardous material, including preparation of the required HazMat air bills, and packages and labels each shipment in compliance with IATA regulations.

Coordinates hazardous and non-hazardous shipments by scheduling air travel availability. Maintains records on the purchase and usage of tax-free alcohol to ensure MRIGlobal is in compliance with the Federal ATF requirements. Ensures documentation of hazardous chemicals and solvents level 1 and 2 usage is maintained to support any request of usage for DEA audits.



Equipment Functions: Supports the Property Management Department with the tagging and collecting of information requirements for MRIGlobal-owned and government-owned equipment. Assist the Property Management Department with equipment audits when required.



Clients & Communication: Responds to questions and inquiries concerning shipping and receiving procedures and practices in a professional manner.

Interacts effectively with external shipping personnel, suppliers, and MRIGlobal staff members at all levels in a timely and professional manner. Performs follow-up with the vendor for unidentified packages shipped to MRIGlobal by calling the vendor to determine the recipient.

Minimum Qualifications (primarily objective criteria required for candidates considered for role)

  • High school diploma or general education degree (GED), or equivalent education

  • minimum of two years related experience and/or training in inventory control, shipping and receiving, and handling hazardous materials.

  • Proficient in the use of computers, including Microsoft programs, Outlook, Excel, and Word, and the ability to learn new software.

Preferred Qualifications

  • Knowledge of inventory controls.

  • Understanding of basic accounting functions.

  • Procurement and negotiation experience.

  • Experience with shipping and receiving procedures, understanding of shipping and receiving best practices, methods, and guidelines followed throughout the industry.

  • Certified in Hazardous material handling a plus. IATA certified.
