Occupational Summary:

Ensure the accurate and timely processing of payments for procured items utilizing an electronic purchasing and payment system. This includes processing vendor invoices and thoroughly and accurately research and resolve invoice problems.

Duties - Work Performed:

  • Validate that the data on the invoice is accurately reflected from the data captured in OCR.

  • Review and analyze invoices prior to posting them for payment; process all invoice types in a timely manner.

  • Monitor discount opportunities; verify federal id numbers; insuring credit is received for outstanding memos.

  • Use Norikkon to manage, monitor and analyze invoices received but are problems and unable to post.

  • Resolve invoice discrepancies by investigating documentation and reviewing SAP transactions. This includes reviewing vendor statements and transactions.

  • Assist customers with the procurement process and with the resolution of a variety of problems, or other issues; answer inquiries on the status of payment, or in the understanding of the Accounts Payable process to ensure billing and payment issues are resolved appropriately and timely.

  • Correspond with vendors or University departments to resolve problems, payment discrepancies such as obtaining a purchase order (PO) number, obtaining cost object or WBS element data, assisting with items not reflected on the PO, or resolving disputed items proactively to ensure timely resolution.

  • Perform a variety of complex accounting tasks involved in maintaining financial records and processing related data.

  • Perform other duties incidental to the work described herein.

  • Participate in special assignments when necessary.

Education

Work requires knowledge of basic mathematical, research andcommunications principles normally acquired through two years ofpostsecondary education.

Experience

(this includes, but is not limited to, for purposes of payroll, health benefits, retirement options, and applicable policies) The System Manager of Accounts Payable is responsible for the processing of requisitions, purchase orders and invoices, for the procurement of goods and supplies. Develops and implements strategies for cost reduction, supplier consolidation, quality improvements and process efficiencies. Reviews requisitions, purchase order, check requests and invoices for conformance to company policy, and discusses issues or problems with suppliers. Builds strong relationships with UNC Affiliates to ensure excellent results driven customer service to include building a strong process to ensure timely payment of all approved documents. Description of Job Responsibilities: * Accounts Payable- Manages accounting functions including maintenance of general ledger, accounts payable, accounts receivable, and project accounting; ensures accuracy and timeliness. Develops implements and maintains systems, procedures and policies, including accounts payable functions to ensure adherence to company guidelines. Manages monthly closing of financial records and posting of month end information; ensures accuracy of financial statements. * Leading Change- Acts as a catalyst for organizational change.
