Occupational Summary:

Ensure the accurate and timely processing of payments for procured items utilizing an electronic purchasing and payment system. This includes processing vendor invoices and thoroughly and accurately research and resolve invoice problems.

Duties - Work Performed:

  • Validate that the data on the invoice is accurately reflected from the data captured in OCR.

  • Review and analyze invoices prior toposting them for payment; process all invoice types in a timely manner.

  • Monitor discount opportunities; verify federal id numbers; insuring credit is received for outstanding memos. Use Norikkon to manage, monitor and analyze invoices received but are problems and unable to post.

  • Resolve invoice discrepancies by investigating documentation and reviewing SAP transactions. This includes reviewing vendor statements and transactions.

  • Assist customers with the procurement process and with the resolution of a variety of problems, or other issues; answer inquiries on the status of payment, or in the understanding of the Accounts Payable process to ensure billing and payment issues are resolved appropriately and timely.

  • Correspond with vendors or University departments to resolve problems, payment discrepancies such as obtaining a purchase order (PO) number, obtaining cost object or WBS element data, assisting with items not reflected on the PO, or resolving disputed items proactively to ensure timely resolution.

  • Perform a variety of complex accounting tasks involved in maintaining financial records and processing related data.

  • Perform other duties incidental to the work described herein.

  • Participate in special assignments when necessary.

Reporting to the Director of Community Engagement, the Staff Specialist is part of the Duke Cancer Institute Development team which partners with various units and departments within Duke Cancer Institute and Duke Health Development and Alumni Affairs. Work Performed: Benefit Events and Fundraising – 50% * Assist in managing relationships with third-party and internalfundraisers, maintain the benefitevent applicationprocess, coordinate with DCI Communications event details to market benefit events through DCI's communication channels. * Help with the creation and maintenance of online giving pages andregistration sites forbenefit events on our Blackbaud donation platform, provide customer support to eventparticipants and event managers. * Help maintain relationships with local businesses and corporations toencourage them tosupport DCI's fundraisingand sponsorship efforts. * Responsible for helping to coordinate fundraising and benefit events,including: planning event details, creating online giving pages, obtaining presenters for events, coordinating necessary staff and volunteers,and attending benefit events as needed. * Assist with developing creative components for the program,including: drafting of letters,designing online donation pages, and creating collateral materials for events. * Help track and run analysis reports of all benefits event results toensure the creation of an effective pipeline ofdonors, providing a steady flow of prospects, donors and volunteers tohigher levels of gift giving. Stewardship and Donor Pipeline Building – 25% * Assist with the implementation of benefit event stewardship,maintaining a benefit eventstewardship calendar. * Workwith DCI Annual Giving Director, Development Associate, MajorGift Officers toimplement successfulstewardship and donor relations strategies for benefit event donors. * Assist with developing strategies to increase, integrate, and sustainevent donors into the DCIpipeline. Program Administration and Support – 25% * Assist in executing communication and donor stewardship aspects of the community engagement program to ensure that appropriate solicitation and stewardship strategies are implemented, and that fundraising goals and revenue targets are achieved. * Maintain a comprehensive benefit event spreadsheet for the program that includes: detailed benefit eventinformation, stewardship plan, and donor recognition activities and opportunities to increase giving within the program. * Maintain benchmarking reports for internal tracking and future planning purposes for various community engagement programs and activities. * Process expenses and track budget expenditures and projections for the program. Education-Work requires communications, analytical, and organizational skills generally acquired through twoyears ofpostsecondary education.
