Objective of Role
National Instruments Project Coordinator's are responsible for influencing and guiding the successful outcome of customer projects within their influence. Project coordinators typically execute in one of two projects types: (1) coordinating a project of a larger program under the guidance of a program manager or (2) coordinating smaller projects that do not require a project manager.
The Project Coordinator facilitates completion of standard system projects that follows established process. This can include:
NI Project Coordinators spends most of their time:
Tracking and reporting on project execution and status, including customer billing reports
Development and management of project plans - reviewing the plans regularly to ensure tasks and milestones are being achieved in a timely manner and preparation of governance reports, project status reports, presentations, and other communications
Managing project procurement to ensure proper urgency and successful product delivery
Monitoring project health metrics and customer satisfaction allowing for proper communication of relevant information with stakeholders
Take an active part in the project issue/risk management process, by being proactive in identification and prioritization of existing and potential issues and risks and helping to develop strategies and controls to mitigate these.
Check project compliance and highlight any issues to the Project Manager.
Provide a skilled facilitation service to support the project teams in achieving expectations and facilitating that the necessary department interlocks occur as needed, such as involving manufacturing when appropriate. This means employing effective organizational and administrative processes, together with their knowledge and/or experience of project management smart practices, to facilitate the successful achievement of the project objectives.
Build and maintain effective relationships with a wide range of people in addition to their own team, including project sponsors, senior managers, stakeholders/customers, other project team members and managers, external agencies and vendors.
Key Performance Objectives
Leverages PM management practices for team: Within the first 6 months, the project coordinator will have a great understanding of active practices and use them towards achieving project objectives. Within the first 12 months, the project coordinator will be seen as a subject matter expert on the standard practices used by the team
Controls and optimizes costs for budget and expense: within three months, will understand the components of a project profit and loss statement, and within six months will ensure project budgets and expenses are consistently tracked and reported and identifies deviations to address.
Proactively identify business risks and facilitate discussion for the project team to come up with mitigation plans: within the first 6 months, is able to regularly recognize and identify key scheduling and resourcing risks.
Effectively manages time to coordinate multiple sub-projects: Ability to prioritize and self-organize tasks to coordinate multiple sub projects effectively
Communicate project status to the project manager and other stakeholders: regularly meets standard for timely status reports, and quickly applies corrections to data reported as needed to address particular stakeholder needs.
Strives for continuous improvement for process and tools approach: within the first 6 months, regularly provides appropriate feedback for process and tools improvement, and within 12 months takes ownership of continuous improvement for one more tools or processes.
Undergraduate degree in business or equivalent
Experience in logistics management
Experience in project scheduling, such as Microsoft Project; demonstrated ability to learn and utilize similar tools
Effective oral and written communication skills with a focus on listening and asking questions.
Demonstrated adaptability in high stress and change environments to strive to maintain a positive culture and work environment
Ability to quickly build credibility and trust for effective collaboration towards mutual outcomes
English Language Competency and effective oral and written communication skills
Current CAPM certification or work towards getting one in the first year
Strong understanding of business concepts such as pricing, margins, terms and conditions preferred
Understanding of National Instruments processes and tools, such as MOG, RTM, Oracle, Salesforce, etc.
