Annual Security Report Notice

Pace is committed to ensuring the safety and security of the students, faculty, staff and visitors to the University. The report contains information on security policies as well as crime and fire statistics for the University.

The Staff Associate reports to the Associate Dean of the Honors College. The position is based primarily in PLV, but the position serves both campuses. The Honors College serves as the academic and administrative home for over 1,000 of the top students at Pace University. This position is the administrative backbone for both campuses. The main functions pertain to office management and maintenance, processing financial paperwork, scheduling, and handling the various forms of inquiries the college receives.

Position Duties

  • Manage the daily operations of the Honors College lounge and offices on the PLV campus. Office and lounge maintenance includes ensuring staff coverage of the office, ordering supplies (both campuses), keeping updated forms on hand, cleaning, opening and closing, keeping inventory of the supplies, and making sure that the office runs smoothly.

  • Handle student requests and needs as they are presented (in person, on the phone, and by email) with professionalism and efficiency.

  • Be familiar with all the student facing departments on campus and assist the advisors in advocating for students.

  • Record minutes at staff and other Honors College meetings.

  • Assist with scheduling student appointments with the PLV Honors College staff members.

  • Keep track of the Honors College staff and Student Assistant's schedules.

  • Schedule staff meetings, first alert meetings, and other trainings for the two campuses via Zoom.

  • Manage the daily activities of the Honors College Student Assistants on the PLV campus including making schedules for the student aides, assigning tasks, and approving timecards.

  • Ensure all Honors forms are accessible for students and staff. Use CRM Advise and Banner system proficiently.

  • Oversee the hiring of student aides and assist NYC with the hiring paperwork for their Student Assistants.

  • Process reimbursements and special payments to faculty, staff, and vendors.

  • Create new vendor contracts as well as vendor updates and submit purchase orders using the e-procurement system.

  • Maintain accurate records of reimbursements including Honors and the endowment fund.

  • Work with Financial Information Systems and Accounts Payable to complete student's Chrome River reimbursements for the thesis grants.

  • Process Payment Actions for thesis payments.

  • Independently prepare and monitor the college's budgets. Attend monthly budget meetings.

  • Assist with data collection and reports.

  • Maintain the PLV listserv and answer the Honors PLV email.

  • Assist the Associate Dean, Associate Director, and Academic Advisors with planning and running admissions events, orientation, and Welcome Week.

  • Assist the Associate Dean with the communication to prospective, admitted, and deposited families.

  • Assist the Senior Thesis Advisor with thesis presentation/conference scheduling.

  • Work with the Academic Advisors and Honors Council on programming (i.e. ordering tickets, booking rooms, arranging the van/bus).

  • Be the main point of contact for general PLV Honors inquiries. Meet the needs of the Honors College staff.

  • Assist the Associate Dean in maintaining the records and the processing of the study abroad grants.

  • Performs other such duties as may be assigned from time to time.

Supervision

Supervise Student Aides on the PLV campus.

Position Qualifications

  • Associate's degree required; Bachelor's degree preferred.

  • At least one year of job related experience, preferably in office management.

  • Extensive computer knowledge and be able to adapt to new technology.

  • Microsoft Office proficient.

  • Must be able to multi-task and work independently.

  • Must be able to work with a wide variety of people.

  • Excellent interpersonal, verbal, and written communication with strong organizational skills.

  • Exhibits adaptability and flexibility.

Work Hours

Monday - Friday 9:00am-5:00pm, occasional evening and weekend events. Position is located on the PLV campus, but must be willing to come to the NYC campus twice a year for trainings. An additional training day in NYC may be required during the first year.
